nicholab Posted February 24, 2015 Posted February 24, 2015 Hi has anyone come up with the best way of dealing with data at the end of a Facility/CMIS licence? How have you exported or left your data for access? There is two years of data that has not been exported into the new MIS and we still need access to it.
pcstru Posted February 24, 2015 Posted February 24, 2015 "The Best" - probably not! Our options are : 1. Pay a large amount of money to retain access via CMIS. 2. Produce reports into PDF's for the data we want to retain. 3. Develop app/s to access the data we need directly from DB. 4. Some combination of 2&3. 5. Pay to Port over ALL of the historical data into shiny new MIS. All have pros and cons.

Is there an easy way to produce a pupil by pupil report in PDF of exam results and attendance? As I assume by now that data is only required for individual students. Would it be possible to do destinations by leaving year? Banjo Posted February 24, 2015 Posted February 24, 2015 Restore the data into an access DB and access the tables directly from there for basic pupil details. Attendance will be harder as its split across 3 tables but still do able if you drop it into Excel. Assessment would be a nightmare as it's all |5a|e|f|3| in the table and pulling it out would be more trouble than its worth. These will need printing as PDF's for individual students or exporting the the Year group results into Excel from within Facility itself. I think the historic charges for access to the system are a bit over the top, given that Facility is and has been, sailing into the sunset for a number of year.
vikpaw Posted February 25, 2015 Posted February 25, 2015 I'm sure somewhere recently, someone quoted the price for maintaining access to historic data, it was of the order of a couple of grand, maybe up to 4k. Which isn't too bad if it gives you a year to sort your stuff out and extract what you need to a usable form.

I did publish a spreadsheet which has VBA functions to access CMIS data, including assessment data and some stab at basic attendance information. We generate our pupil reports (PDF's) via bespoke means so it is possible. @vikpaw, I've had a quote recently from AL for a 2 users historic access over three years and it was much much more than £4K! 1
Michael Posted February 26, 2015 Posted February 26, 2015 It's for this reason I encourage schools who wish to migrate to a cloud MIS, to migrate all data, not just the current/existing year. The costs add up as in 5 years, you may/may not still need to replace your MIS server for a system you use rarely... it doesn't make practical or financial sense!
