Hi All

 

Ive just had a phone call from the bursar who is getting a few errors on the dry runs of the census.

 

I have applied file set 172 but this hasnt made a bit a difference. Here are the error codes we are getting...

 

1500 error

1570 error

1840 error

1882 error

1992 error (loads)

1994 error (loads)

2350 error

2766 error (loads)

2795 error

2820 error

1560 query

1881 query

1884 query

1991 query

2767 query

First and usual checks, are the required data fields filled in, particularly where you have loads (Ethnicity for example)?

 

Let me dig out the census error code list...

Yes please mate. I have looked on the capita site but only a few are listed - i guess the ones that the fileset fixes.

Error 1994 is solved by entering Qualification Hours and Non-Qualification Hours into each Post-16 course in Course Manager.

 

You then need to calculate the hours for each student for both this Academic Year and last Academic Year through Tools > Academic Management > Course Manager > Maintain Programmes of Study

 

Select all (CTRL + A) and select 'Calculate hours from courses' - Then save.

 

Most Post-16 courses are around 150 hours each year, non-inclusive of Guided Learning Hours (if any).

There are a number of issues with the 172 fileset that are being reported on the Capita Forum - there is a patch that has come out today, Patch 19945, that "resolves the problem".

If it makes you feel any better, I am currently staring at 277 errors on my census (mostly 1570) and my first solo census contained 980 errors on first run.

@GREED: Ethnicity is being collected in Spring according to my notes. Presumably because CTF files are still coming in.

Thanks for this but we are going to have to put them in manually as its only picking up week A timetable totals and missing out the registration period too.

Timetable periods/totals shouldn't matter. If they're attached to the course/class in Curriculum Assignment then the hours should be applied to the student from what is set in Course Manager. Each Sixth Form/Post-16 is different to another, so it is likely your system works differently - for example, we have some students doing more hours than others - so it's best to use Course Manager to calculate the hours.

 

Registration itself is classified as 'Non-Qualification' time, since we have a 'Tutorial' lesson which is essentially an extended registration each Friday we added this time to the 'Non-Qualification' hours for the Tutorial 'course'. General guided learning hours can also be added to this if they can be spent for any lesson, if not they can just be added to each course separately.

 

To my knowledge, across the two Post-16 years a student must qualify for a minimum of 1200 learning hours in order to receive full-time funding. Our average is 650 for Year 12 and 600 for Year 13.

I got round that by adding the Registration hours to our PSHE course (all students do PSHE, the very few who don't are manually amended).

Right on schedule (!) the DfE have published a 'known issues' pack for Census errors. If this would be useful to you guys let me know and I'll upload it to the same location.

 

FYI there has also been a V1.7 validation spreadsheet released, but the changes are quite minor.

I did this as follows:

 

- in Course Manager, enter qualification hours per course where all students on the course do the same hours. This is not always the case, e.g. for some 2 year L3 BTECS, they do more qualification hours in Y12 than in Y13.

- In Maintain Programmes of Study, select all students and import hours from courses

- In Maintain Programmes of Study, manually add qualification hours for students on those courses where hours have not been set in Course Manager. You can filter your list by subject studied, NC year etc - I also used class lists just to be sure everyone was being given the right number of hours.

- In Maintain Programmes of Study, manually add study, tutor and other non-qualification hours.

 

Once I had my head round this it wasn't too time consuming. Having said that, I am still here on my day off attempting to fix a Course Manager problem.....

@timbo343 if YOUR sims support people were nice enough to release you patch 19945 wouldn't it have been nice to release the patch to all post-16 establishments they support..... I sent my return and its got thrown back because none of my leavers have qual hours..... Now waiting for sims.net support to patch me.... Im so tempted to go capita direct for support

@stgoodyeara indeed it would! I thought they released it to all establishments in the area. Bear in mind, i applied the patch a day early before *they* sent it out, i got it from the capita support site.

We miss you at the Network Managers though. There are only about 10 - 15 of us that go now anyway.

I just can't justify the time. It takes best part of a day with travel each way from this side of the county. That coupled with my hatred of certain member of LA support I felt it best not to attend.
