Student Photos In SIMS - Your Comments Please

Do you store student photographs in SIMS without parents / students signing a consent form ?

 

I'm interested in your opinions as in chatting to various people some say we could store a picture of a student without consent because it is vital to the running of the school and others say you can't without a consent form.

 

Any opinions would be welcomed.

I would say you can store photographs for records on Sims.net without parental consent - however you must have consent for pictures taken in the classroom / activities etc.

Yea we have a consent form for the Internet etc..

I should think you should be allowed to do it. You could post something on the website like "If you don't want your child's photo used please send us a letter in writing" If they do say they have to come to the school in person the checkup just incase its a student sending the letter.

 

Not many if any will go to that extent.

For things like CMIS we didn't ask for consent becuase it's closed data and not available to joe bloggs.

 

Website was an opt-out as opposed to an opt-in. It was printed in the newsletter once every year and the students had to return the reply slip to say that parents had read each newsletter.

I agree with Joe - for restricted internal-only use like SIMS, you don't need consent. Consent applies to showing photos in a way which would/could make them visible to the public.

Did you get permission from parents when the photos were taken, i presume by an external party?

We used the school photos. The photography company (tempest IIRC) gave us scaled down photos on DVDs I think. I can't remember because I didn't have much to do with CMIS personally.

are these photos printable onto a report such as a pupil details report or emergency contact information reports when pupils go on a school journey...if so, shouldn't parental consent be taken as these reports will be available outside of the MIS?

No extra consent would be needed, no. They might be available outside of the MIS, but they're still only being used within the school - that is what the parents have given consent for.

.... dont forget to update the photos! A big scruffy hairy sixth former with attitude is not always best pleased when they still see a picture of themselves in a nice tidy uniform, hairless and smiling happily when they started Yr7!
