Here's a random question.

 

Focus --> Assessment --> Template --> Open a template

 

Under Template Columns --> Open a template column

 

There's a read-only flag on that property page.

 

Does that read-only flag do anything other than make the column in associated marksheets read-only? i.e. are there any knock-on effects other than the obvious?

 

I know this sounds like a silly question, however someone is trying to tell me something different and I need to get to the bottom of it.

The read only flag is set when the column is first set up. If the column is set up as for Data Review, it will be read ony -as opposed to a column for Data Entry.

As far as I know, this cannot then be subsequently changed (unless you delete and then re-create the column).

It does not make the underlying data read only anywhere else in the system, it just makes it uneditable from that particular marksheet column.

This is a feature to allow you to present data to staff without giving them the ablity to edit it (at least not in that place).

mostly right, except that you can definitely change columns from Read Only and back - it's how I make sure staff enter end of year comments in the right year column.

Be careful, Linfit is correct, a data entry column can be toggled between read only or not. A data review column can never be changed, it is always read only.

It's not an easy mistake to make though as you have to open the column. Not like the hidden checkbox which can be hit easily and then scared users click save to everything just to be sure they don't lose any work, then go and lose half a dozen columns!

Kind of wonder what the point is of Data Review columns anymore to be honest. With Data Entry set to Read Only, I can go back to a marksheet months later realising I need to tweak some data and can untick the read only box instead of recreating half the sheet (lost count of how many times this has happened to me!). They can even be made in bulk, I no longer use Data Review columns because of the flexibility that a locked Data Entry column has.

I always used to build with data entry and then mark as read only for that convenience. But for some 'superusers' it's easier to train them to just create data review if that's all they need. e.g. when they want to add historic grades from last term to a marksheet for review. Edited by vikpaw

Agree it is also one of those very annoying things that you just learn when you create templates - just make everything data entry and toggle as you see fit. Having changed all of our templates last year to upscale our tracking, we are now upscaling again as we have learnt from the last 12 months and see development potential..... thus I am grateful that most aspects are data entry by default!!

 

Oh and when oh when oh when will CAPITA listen to me about my "please let us drag and drop aspects in templates" change request?!

In the Summer release notes - do you think this is a typo and they mean data review columns can be made read only? I hope so, the other two enhancements are good too.

We have removed the tilde ~ from duplicate Template Column Heading Names.

Export Marksheets – Numbers now export as numbers instead of text for Marks Aspects.

Template – The Data entry columns can be made Read Only with the tick box.

My guess is that they have finally, finally, finally made the Read Only column just like the Hidden column, when you look at a template i.e. you can just toggle the Hidden, but currently you have to open and look at Column details in order to set the Read Only. Hopefully another poor piece of UI design finally addressed :-)

No typo , data review is already read only.

It's what @resin1 described.

Now it justs needs a global way to tick a whole marksheet or at least multiple columns at once or does that already work..?

I presume it's cos we all asked for the tick box on screen to actually work so it's a time saving 'feature'

I could be wrong and to presume only makes a pres out of u And me ;)

What would be LoVeLy is having a list of all my aspects on an admin screen and ticking what I want to be read only! We have input deadlines and locking them all down at the deadline (by going into every Marksheet and opening the box and ticking read only) is one of those lemming jobs!!!!

We do this by locking the resultsets, can't you do that, or do you need different subjects to be open at different times? Assuming your resultsets are based on the year/term.

I sometimes need to reopen some of them for varying reasons, so if I locked the result set could I go in and unlock, say Geography, or would I need to unlock everyone for that?

It would open for all I'm afraid. When we do it it's for a small window when everyone else is done so most don't notice as its for corrections or filling in for a new / absent student.

Hmm but I still like the idea! I could lock it all down at the deadline and then go back and do my usual 'read-only' tick boxing when I have a quiet minute (!!). I like it
