AllSaintsAcademy Posted February 4, 2013 Posted February 4, 2013 Hi All, I need to get a piece of software that will allow me to give the staff a quick way of emailing all the teachers of a specific student without having to lookup which teachers actually teach that student. I have used something like this in a previous school, but can't find the details now. The software I had in mind took an extract from SIMS via a report / csv and the staff used a web page to send the email - all replies then go directly back to the Outlook inbox of the sending member of staff. Any ideas gratefully received! Thanks, CJ
knightrider Posted February 4, 2013 Posted February 4, 2013 You can do this via running a report from SIMS and it opens up an email with the correct staff names in the 'To' field. I've used this but just started a new job and they dont use SIMS so cant pass it to you. @vikpaw is the man I got it from. Maybe PM him and see if he'll help you out. Knightrider 1

Staff do not normally Have permission to see other staff emails. Also all staff will have to have an email in sims personnel area . Ideally work and main. It works fine for admin but for lay staff you have to extract first and last name and rely on a directory lookup in outlook . Still automated tho. vikpaw Posted February 7, 2013 Posted February 7, 2013 Sorry didn't get a chance to dig it out yesterday and its my weekend now. the report definition is on SupportNet file sharing area #963 on the second page in. So you can pick it up there if you have access. Happy to help modify If required.
vikpaw Posted February 10, 2013 Posted February 10, 2013 Here it is. It takes the first and last name of the staff member, and will dump to Outlook as a pair. It then relies on Outlook being able to look up the names in the directory, we have Exchange. Works on my Win7 box with Office 2010. Haven't tested on any other setup. You can manually hit check names or press Alt + K. The only time it fails is when, some teachers have changed their known by name, so those need to be manually altered. You need to enable macros to allow the interim spreadsheet to send the names into outlook. Teacher Emails of a student to Outlook.zip 1
winng Posted March 6, 2014 Posted March 6, 2014 I've always used Mailfinder to achieve this and staff have always gave great feedback as it saves them so much time. It's not expensive and does a tricky job very easily.

However, our licence has expired and they're not responding to phone calls/emails/tweets/facebook posts Not sure what's happened, they only recently released a new version. So looking for a replacement now. Will have a look at @vikpaw's method! Thanks
GeekyPete Posted March 6, 2014 Posted March 6, 2014 If you don't use outlook in a properly configured Exchange/O365 environment you could add vLookup to the spreadsheet to output the actual email addresses.
