Scan from multifunction device to email (live@edu)

Afternoon chaps and chapesses!

 

Just a quickie, currently we have an exchange server/easymail setup at school which next month will be put out to grass. We have a couple of multifuntion devices which we need to use the scan to email function, however we will not have the exchange server which currently manages it. I was wondering how we will need to configure when moving out to live@edu?

 

Any ideas welcomed!

I guess you would just point your MFD at the SMTP relay for Live@Edu - don't know if its possible and you might even need to talk to your LEA to check that the SMTP firewall ports are open.

Setup a shared folder and have all the relevant departments within said shared folder and map a drive to each of there computers for the relevant departments folder(s).

 

Then just setup scan to folder on a per department basis ?

 

So when they press or select scan to folder which is named Maths , the scan goes to the maths departments folder etc etc

Hi Mac_Shinobi, the funny thing is we wanted to do that to begin with, but for some reason we couldn't get the scan to folder function to work - there wasn't enough characters in the domain field to include the .internal suffix. We did have kyocera and our leasing company out to test and they failed.....

I've only done scan to folder on Ricoh MFD's / some printers so not sure on the kyocera front. Can you not use the shortened domain name, so instead of

 

my.own.domain.com

 

use --> my-domain

 

May be worth while trying my-domain in uppercase instead of lowercase ?

 

Also ensure all the network settings are correct ie pointing to the correct DNS servers in the relevant order, time, date and time zone are correct etc

 

If you need the FQDN for authentication, wondering if you could put this before or after the username for the windows logon details ie

 

my.own.domain.internal\user.name

 

or

 

[email protected]al

 

???

 

Not sure on the things that they attempted when they were setting up scan to folder , maybe ask and post back ?

We have tried that and failed, mind you I have been told that the Kyocera 1020MFP is a rebadged Ricoh...

 

One option would be to install locally on one PC via USB to a shared folder (utlilising the TWAIN drivers), but leaving the network print function intact.

Some models of Ricoh only support TWAIN over ethernet vs other models that can do TWAIN over USB and or Ethernet ( depending on the drivers for said model ) from the website.
