[sims] Sims separated parents correspondence

Hi all,

 

dont suppose anyone has come accross this issue before?

 

SIMS allows information to be input and stored where both parents of a child are not residing at the same address but when correspondence is to be issued to both parents (therefore 2 sets of information such as reports are required to be posted out by the school - one to the mother at one address and one to the father at another address) there doesnt seem to be a way of automatically doing this.

 

So for example if absence letters are required mail merging will ony print off to the primary parent and currently staff use a printed wall chart to highlight which parents need extra letters to parents/guardians at different addresses. It can get complex with some students living arrangements.

 

This information is input within the section of 'Family/Home' under the contacts section but I am unable to locate a report which will identify those students which this applies to so that they can be included on the mail merge address print outs.

 

Anyone had similar issues?

You can use the pupil report tickbox in the contact for the student, you can design a report that filters based on this tick box.

 

The filter would look like

Students where > Contacts Exist > Where > Pupil Report is true 

 

We maintain a separate list external to SIMS at present. We have discussed using this several time over the years, but for some reason there are always those situations that don't fit into a nice neat tickbox so have remained using the external list. Maybe one day it will change.

Within the parents details there should be a correspondence box, only tick this if it is for an non resident parent (all resident parents want correspondence so the majority of parents do not need this ticked). You can then run a report for all those parents who are non resident. It works!

I would agree with this as the best method.
