[sims] Student Details - Registration Groups "[1]" added to Group

Does anyone have any suggestions while we are waiting for a Web Support reply?

 

 

Problem has occurred after end of year promotion.

 

In Student Details all the Registration Groups now have a [1] after correct group. e.g. Should be 9FM but is showing as 9FM [1] which does not exist.

 

This has happened to all our Registration Groups throughout all the years.

 

The correct registration Groups are showing in the drop down box

 

However a none existent extra 9FM [1] etc is at the bottom of the drop down box

 

As soon as you move the cursor away from 9FM [1] it turns red

 

Once the pupil is placed in the correct Registration Group the none existent 9FM [1] disappears from the drop down box.

 

In Lesson Monitor the normal lesson registers are showing OK and can be taken, it is only the AM & PM Registrations which do not contain any pupils.

 

This happened yesterday (staff day) and the office staff went through all the pupils individually and changed the Registration Group to the correct one.

This morning they are all back to none existent ones i.e. they have a [1] added after the correct Registration Group.

 

Any comments (not rude ones) welcome!

Thanks for your quick reply.

This KB article dosn't seem to apply as these incorrect reg groups are not showing up in the Pastoral Structure.

 

The problem seems to be worse than first thought - Some teachers can see reg groups and lessons in lesson monitor, some can see only lessons not AM\PM registration and some can't see either!

 

We can't see any common thread and as yet have had no reply from Capita so we are a bit stuck at the moment as we don't want to play about and possibly make things worse.

If you get a (1) after any field in SIMS it invariably indicates a duplicate. I doubt that this is any different.

 

I would still pursue this further if you can. The Pastoral Setup and Promotion may not have been mapped correctly last year. As I cannot see your system, I am not sure how you would do this, being as you say the 'duplicates' do not show.

You were absolutly right, although these "phantom" duplicates were not showing in the Pastoral Structure it was indeed the problem. All now fixed, the office staff just need to fill in Registration \ Lessons from the paper copies for yesterday & this morning.

 

We just went through the motions of "Reuse old registration groups" this produces a new one of same name, remove the origional (moving any "members" to new one) adjust any incorrect Registration Tutors names, save and all was fine again.

Suffering from this problem and I've just tried this solution but now I have 7A and 7A[1] in my reg group list for pre-admissions.

 

EDIT - I removed 7A entirely from next year's pastoral structure and now I have two 7A classes in Reuse Reg Group and no way to tell between them.

Punctuation correction

I've fixed it now. Had to rename one of the 7A groups to 7AX and see if it affected the current year. Then delete the one that isn't correct.

@CRG Sorry missed your post!

 

Add both form groups to next year's pastoral structure and rename one of them (I deleted both and added them via Re-Use registration group). Now check the profile of your current cohort of students. If the renamed one appears when you go to select a form group then it's the correct class and you can delete the other one. If the renamed class doesn't appear, the renamed class is the wrong one and can be deleted from the pastoral structure.

 

NOTE: DO NOT ALTER THE CURRENT PASTORAL STRUCTURE. ONLY MAKE ALTERATIONS TO NEXT YEARS STRUCTURE OR YOU WILL BREAK THINGS HORRIBLY.

OTHER NOTE: ALSO DON'T CLICK NEW OR YOU WILL END UP WITH ANOTHER DUPLICATE. CLICK RE-USE REGISTRATION GROUPS INSTEAD.

 

Example: 7A is duplicated.

 

1) Add both 7A's and call one 7AX to next years pastoral. You will now have 7A and 7AX in your pastoral structure.

2) Go to change a current student's form group on SIMS. Check the list of form groups.

3a) If 7A appears, delete 7AX in next years pastoral.

3b) If 7AX appears, delete 7A in next years pastoral. You might want to call it 7DONOTUSE before removing it.
