If you publish them via WebDav then you can just display them via the Page Viewer component. Alternatively, you can move the files and folders inside the Sharepoint DB, but I wouldn't suggest you do so.

We have taken the opportunity to move the files from shared areas to libraries in the SharePoint portal, so that we can get depts to carry out some much needed housekeeping at the same time.

if your site is http://intranet/staff/ you will be able to get to it using \\intranet\staff\

 

what we did was create a document library, copied everything to it and set correct permissions and then archived the old folder on our shared drive. we then created a shortcut to the unc (as above) and called it the same as the old shared drive folder. that way staff did not know the difference yet they are now updating a document library with versioning included.

 

we have only tried this with one folder in the shared drive but after a trouble free month we will be moving the entire shared drive this week.

If that is the case I'll have to look at SANs and giving a LUN to the Sharepoint server.

Yeah well we have a SAN and will dedicate 1 TB to sharepoint when we have moved everything to it, so its definately the way to go :)

I think what Mark L said is the best way forward.

 

Most schools have shared areas and personal storage that is a mess.

 

This is an opportunity to have a proper tagging system so that when you upload and store, everything has a name.

 

Also its a good time for schools to think about giving documents reference numbers. A school reference system linked to meta tagging will pay dividends.

 

I know this is time consuming but there are lots of reasons to do it.

 

Improves Search

Data security

Quality assurance

 

Last if a school is ever taken to court or takes someone to court the lawyers like documents that have been referenced

 

Sharepoint is not just about the technical but about change management. Unfortunately most technical support people are at the forefront of change management without realising.

I always suggest you have a policy put in place.

 

If you are expecting users to put data up onto sharepoint, they need to update the document, upload it to the right document library, folder, even meta-tag it and then delete it from the shared area.

 

You should find over time that your sharepoint gets bigger while you shared area gets smaller - in theory ;-)

We did (or started) a phased change over 2 years ago with 3 departments who wanted to be early adopters. Then, we get them to spread the news, and now most of our departments are using it. We are hoping to finally "remove" the shared areas for Sept. Heres to hoping! :p
