Sims report help

I`m trying to do a report to cont the number of merits per student over a time period with the following rpeort

 

 

l Data area: Student - Population: On roll

 

l Data Fields: Forename & Surname, Year group, Reg group; for achievements of each student where Date is between 01 Sep 2008 and 25 Sep 2008: Date, Points

 

l Filter Students

 

l Sort Order Reg group, Surname, Legal Forename

 

l Default Output: Excel

Duplicates suppressed in complex reports

This shows each report but I want the total, if I export it to excel it only shows the name and form on the first entry so I need to manipulate before subtoatlling, if each merit was one point I could just do a count in my report but its not and I want to subtotal it.

Here's an idea, but i'm basing it on memory of how the system works and using features i'm not too familiar with.

 

If you take off the check box that suppresses duplicates from the output to Excel screen, that will show the name for each row, so if a student has two achievements their name appears twice.

 

Next run the report as you want into Excel. Now here's the tricky bit i never really understand.

 

create a Pivot Table using the wizard and basic settings so it creates a new sheet.

 

drag the name of the student to the column on the left. drag the points to the data section. this should subtotal the points for each student. but that's about it, i don't think you can get any more info on the type of events.

 

well you probably can by dragging columns to the top section but i dont really understand pivot tables that well.

 

that's the really clever way which is fun, the other way is to just use the subtotals button on the data menu in excel and for each change in name, do a count on the points column.

 

it all depends on you getting an output from sims without the duplicates being suppressed.
