Hi. I have a primary school I am looking to do a full cloud migration on into M365. They currently have 2 MFDs on site (their main device is a Ricoh IM C5500) and the majority of staff use Scan to Folder when scanning in documents.

 

Following the cloud migration, there won't be a server on site to use as the scan directory, and AFAIK the device won't support scan to a SharePoint / OneDrive. Has anyone else come across this before and what did you do as a fix?

 

My only ideas at the minute are setup a PC as an SMB share which staff can access over the network, or disable it and recommend scan to email. However this can cause issues with big scan jobs being too big to send.

Call the provider and tell them you need scan to sharepoint or you're leaving them

Provider replies, "That's fine, but you signed up to a 5 year contract with no get out clause". Come on @mavhc, I wouldn't be surprised if you know how to technically help us here! Funnily enough, I have a thread about a Xerox MFD live at the moment, and after 4 hours, the IT chap couldn't get scan to email working. As a result of this thread, I've realised that what we probably would be better having is scan to Sharepoint and OneDrive. I've already learnt Xerox was a bad move on my line managers move, and if we were able to send it back and replace with something like a Ricoh, that might be a route worth pursuing. So, constructively for the OP, me and anyone else in the same situation, what options are there?

Scan to Email, to a scans inbox, then Power Automate to save attachments to a scans folder on SharePoint

 

This is what we do. Use one mailbox for all scans it different alias and use different folders on the Power Automate side of things.
