Has anyone got a good resource for a suggested machine replacement policy? I want to write a blue-sky policy for machine replacement that considers ownership options and what machine different staff would get.

I calculated the purchase price of a device and the resale value after x amount of service. From this I could calculate a monthly cost and evidence keeping a young fleet and selling the devices is cost effective and people benefit from modern devices. I also included stats from the service desk incidents to evidence reliability. Although, these days there aren’t as many as there used to be, devices are much more reliable.

 

Generally my lifecycle is (and was in schools) 3 years for portable devices and 5 for fixed computers. The manufacturer of the device influenced the resale value greatly.

I also did this with switches, servers etc.

How did you calculate the resale value. I have a preference to give a particular groups of user new mobile devices and hand the new desk tops on to another group of use keep it consistent. Rather than new staff getting device or people with device failure getting the new kit.

The resale value was always an estimate, but I started by looking at our own fleet, comparing what I could get for it used and how much was originally paid. I also consulted resellers etc.

I didn’t do this as it just created extra work.

Everything we had was in warranty so if something failed it would be repaired. We kept spares of each model (due to the refresh period we only had a few models of laptops and desktops) and swapped with the same type if needed.

Just to point out I am starting with no significant kit replacement strategy. We have staff with machines that have been kept going through heroic efforts of a team member. Other staff have newish Dell desktops I want the on call team to get laptops.

 

I very tempted by leasing or reconditioned kit to get laptops rolled out quickly. Currently we working over RDP when wfh and this is rubbish.

 

A four year project may send me mad.
