denzal2k4 Posted July 10, 2023 Posted July 10, 2023 Hello Edugeekers, We have had an issue for the past few days when any user emails a Gmail account it gets sent straight to spam, we have read as much as we can on the topic and have checked SPF/ DMARC/ DKIM etc Spamlists, Google Postmaster, all reporting back no problems, when we send via iSAMS it is fine as it relays it through Sendgrid and it has never blocked us, so I'm partly wondering if a few emails that went out via Outlook, that did contain multiple Gmail accounts has caused the block, and if there is anything we can do to sort it out. We have logged a case with Google who say to allow up to 2 weeks for a response/ action. I also used the livechat where he said we needed to add Google to our SPF record despite the fact we use Office365. We do occasionally get temp block from Hotmail when users send multiple emails out at once, but that resolves itself fairly quickly once they add us to allowed senders, with Gmail even if you mark the message not Spam subsequent messages still go to spam. Wondered if anyne had been through similar and how you resolved it? Suggestions welcome!
andy_b Posted July 10, 2023 Posted July 10, 2023 Have you run the headers through https://mxtoolbox.com/Public/Tools/EmailHeaders.aspx to see if it flags anything ? 1
mikeingham Posted July 11, 2023 Posted July 11, 2023 My condolences We had this exact issue a few months ago, and I went through all the steps that it sounds like you have done. After about 5/6 weeks things started getting throughand it all now works as expected. During this 5/6 week period our workaround was to get affected users to use their school google accounts(we are predominantly MS, but have a google domain for some teachers). We set up automatic forwarding to their school O365 email, nobody came back to us with any issues after this. I am afraid you just have to be patient. 1
mikeingham Posted July 11, 2023 Posted July 11, 2023 Forgot to say We also tightened up our outgoing spam policy in O365, this has also stopped any warnings we were getting from the NCSC early warning system.
denzal2k4 Posted July 13, 2023 Author Posted July 13, 2023 Thanks for the tips, it started working again the day after I posted I've advised staff to try not to bulk send emails via Outlook and to use iSAMS to send messages where possible, it did mention it wasn't happy with the DKIM signature, but it passes on other checking sites and Postmaster doesn't have any faults.
