Hello.

One of my schools would like me to move all users’ data including shares online to Microsoft 365.

What would be the best way to do this?

The school already has a Microsoft tenant which they use for online teaching, Teams mainly.

I’m really not an expert on this.

Would all the shares like staff share be moved to Share Point or One Drive?

Whilst yea it can be done, I think your main issue is going to be around governances and the data that’s going to be in office 365.

 

You could use a sharepoint site and move the data that way, or you can use file azure sync which looks quite good not really used it myself but long term plan

 

I would most probably be speaking to the DPO and get some advice before you start moving stuff

You have some good advice here already. I’d add that you’d want to start with some discovery.

 

  1. Where is their Microsoft tenant located? The answer is probably ‘in Europe’ and that’s fine, but I’d check now and not be embarrassed after the event because you transferred a terabyte of student PII to a tenant that somehow got created in the US.
  2. What data is in ‘all the shares’ and how do they need to access it? You would not want to store data in a sharepoint document library if it’s used by some god-awful legacy app that can’t handle that connection.
  3. What are the data retention requirements for the data and can (& how will!) you meet those in Sharepoint or Azure files? Will a cleanup of manky 20 year old data from the depths of old file shares need to be part of the process here?
  4. How are you ensuring you’re transferring ’clean’ files from a malware perspective?

 

Those are a few of the questions I’d need answers for before firing up the various migration tools…

How would I go about transferring each teacher's data to their office.com account? Is there a tool for that or will I have to login to each account and upload their data individually?
