Hi all, does anyone manage to send out invoices before they have carried out their year rollover? Our Accounts department are adamant that they send out invoices the first week of the holiday, which means we have to roll over, but we have holiday clubs in so need to keep all the pupils as is or leavers details will be moved. Just wondering if there is an easier way to keep everyone happy?

We don't use iSams(I wish!) but use Fee's billing in Sims instead. We carry out the bill run during the last week of term/first week of the hols - we don't rollover until the usual time.

 

I haven't had much involvement for many years but I'm pretty sure they just bill each year group as is for the year above ie Y2 fee's get applied to the current Y1 etc then they don't bill year 8 in our case as they've all left. Probably worth contacting iSams support for advice, billing now is fairly normal but you certainly shouldn't have to rollover this early (our registrar goes nuts whenever I suggest we rollover early!)

We are going through the training on this ready for (iFinance) go live in August, We are sending out invoices early July. In our case we are rolling over early as it’s a bit simpler, *but* you don’t need to, you can run and send out the Autumn term invoices before roll over. I assume that you still have a trainer contact? It might be best to contact them.

We have been with iSAMS for a few years now but this is the first year Finance have kicked up a fuss about when rollover is. Funnily enough, one of the reasons stated is that we are migrating to iFinance so they need to get the bills out of the way to have time to work on it.

We are likely in a very similar position, iSAMS for 11+ years and now moving the finance system from PASS to iFinance, lot's of fun and some intense training!

I'm keeping well out of it. I want them to take ownership rather than rely on us to dig them out of issues all the time. Though we all know its still going to happen

We’re doing the same. Training starting in July, moving payroll too. Bursar retiring this year too so outsourcing the actual payments etc!

@jamesrhart @kirbster73 are you willing to share your experience of migrating to iFinance with our accounts team?

I can put you in touch with our Chief Accountant if it helps. We have only been using iFinance since September (training and install happened before hand though) so it wouldn't be a long term review.
