Hi,

 

I am having issues with Teams setup and maybe someone will be able to help/point me in to right direction.

 

We have set up Teams to be able to remote teach children in our school. I have all groups set up an as far as teachers are concerned everything seems fine. Problems begin when child's logs in. Because Exchange is disabled for pupils they haven't got access to calendar this also makes inviting them to the meeting impossible. We don't want them to have access to the email as we are unable to control the communication.

 

How did you set your Teams up? How did you get around email issue and setting up the meetings?

If you are not doing Exchange licenses the best way for a teacher to contact a student will be for the teacher to open their calendar and use meet now. This will not create a calendar reminder and will call the student when the teacher adds them to the meeting. On the students end as long as they are signed into teams their device it will "Ring". The other option if you leaving the calling tab available for students is to have teachers use the calling tab to call students this will work similar to meet now but you will not need to enter a meeting to call the student.

We had the same concerns across our 33 Trust primary schools and initially exchange was turned off. It was further complicated by the shear number of sites and having a single Office 365 tenancy.

 

We have now enabled Exchange so that staff can schedule appointments with students.

 

There were a few pre-requisites to getting this done and the provision being appropriate for primary age students.

 

Assuming you are a single site.

 

Set the Job Profile Field for all Students.

 

Create a Dynamic Distribution Group that looks for all users with the job profile field relating to Students

 

Create two transport rules

 

One to prevent members of the dynamic distribution group from recieving email for external senders (you'll need to put some exceptions in for Teams)

 

One to prevent members of the dynamic distribution group from sending email to users outside the organisation.

 

If you want to obscure staff email addresses in Outlook (although I have to stress that students will see staff addresses in other areas). You'll need to create a new Address Book Policy and assign this to students. (We do this to segregate different schools).

Hi. You don’t need Exchange to schedule Teams meetings, I know as this is exactly the setup we have at the moment... (we setup 365 on a second domain so we could throw it out at lockdown but not have to migrate the elderly onsite exchange server until the summer...)

 

Open the team you wish to schedule a meeting in and in the toolbar at the bottom there is a video camera icon, click this, ignore meet now and click on the small text, Schedule a meeting. This brings up a meeting wizard and once set it posts into the team. If you want to pickup the url of the meeting, go back into the meeting and down the bottom there is a line of text that says “join Microsoft Team meeting”, right click on this and choose copy url.

That sounds complicated but definitely project and learning experience for the summer when it wont matter if i mess it up.

Did you managed to block students from removing one another from the meetings? I have created policy for students including this but doesn't really work.

You need to set teachers to “only me” presenters and students as attendees.

Hi,

 

How did you get around the fact that kids can join those scheduled meetings without teacher present.

 

Teachers set the meetings with option to bypass off but this does not stop children to enter the meeting. Also announce when caller joins or leave function is enabled but it still doesn't work. I am assuming there needs to be policy that over rules or other policies i put in place.

Currently not possible but in the near future if students are not able to create meetings they will not be able to start a meeting without a teacher.

Is it the same with creating new Teams. I have applied team policy to all students with option to create new team switched off however this doesn't work.

Turning off the ability to create teams is working for us. I know if you recently assigned the policy it can take some time to start working I have seen some policies take 24 hours to take effect.

No this is over a week old policy. I don't really understand why doesn't it work. It is straight forward policy.
