Hope this is the correct forum for my first post!

 

I started using the paid version of Adobe and despite their vast array of tools I have been unable to replicate the function of overlaying a stamp/small form onto a PDF invoice to request annotation (cost centre, comments) and signature.

 

I could create a form using the invoice as a template but this is time consuming for each document, needing the questions adding and then the boxes to fill in. I found an option to make a custom stamp but this is simply an image.

 

Does anyone have a solution for this? One that I can quickly roll out for my finance officers?

 

I am keen to retain an audit trail with as few processes as possible. At the moment we are downloading email threads as PDFs and saving payment runs as a PDF portfolio but the files end up being unwieldy.

Who's supposed to be editing the fields on the stamp? In regards to your "request annotation" etc. Afaik, dynamic stamps only let you edit the text when they're placed. So you could have a template setup that adds a box "add department/signature etc" but that'd be filled in for the person who's adding the stamp (I'm guessing you/finance)

 

If you're after adding the stamp, and then sending it off to another department (let's say maths) where they fill in those boxes I don't think stamps will work

 

Is this basically to replicate the old rubber stamp boxes etc?

Hi Steve, so the process would be:

Supplier sends invoice to finance

Finance "stamps" document with agreed set of questions

Finance sends document to budget holder to be completed and signed via e-signature/Adobe

Budget holder returns completed document to finance

Finance stores as one page showing audit trail.

 

Perhaps I need to think of another way. I am not wanting to pay for licences for every budget holder to edit and sign though!

We just use Adobe Sign and Finance load the PDF Invoice into it and they know who needs to sign so they specify them, drop the boxes onto a space on the invoice and a free text box for info / notes and they put in the message part of the sign request what info they need to go in the box.

 

Works reasonably well bar invoices that are signed by the sender that messes it up (DHL for example) so we have to re-print it to PDF and then send that signed one out.

Thanks for this, I was sure someone must be using this! I have ended up making a cover sheet saved as a template, as I noticed you could upload more than one doc per "agreement". Frustratingly I can't share with my team, they will also have to make one!

Yep we use that for contracts as they need about 6 signatures so the 40 page document gets the 1 page signature page on the front and makes it clearer for sure. DocuSign which we use for contracts (but is £££ more) has a way to handy tremplate feature that allows you to share them so it was a 3 click and done not found that in Adobe Sign but we brought it in as a rush job the Adobe Sign so not fully dug into as it was how can we replace this quickly to ensure we pay bills etc
