unixman_again Posted January 20, 2020 Posted January 20, 2020 Our printers order toners automatically, but this is unreliable - for heavily used printers we get a few and for rarely used printers we get loads. I had this turned off. I don't use a system. When I replace a toner, I order a replacement. We have 45 printers of the same model, I keep 4 cartidges and 2 waste toner bottles in stock. For other the other unique models, such as the colour printers, I just keep one of each colour.
CHiLL Posted January 20, 2020 Posted January 20, 2020 (edited) The majority of our printers are leased and the lease company provide software called FMAudit. FMAudit scans the network for all printers and detects levels and other printer stats. Our lease provider uses this information to automatically trigger a toner order once one of their supplied printers gets below a certain level of toner. For the most part, it's worked pretty well. PotNoodleTech Posted January 20, 2020 Posted January 20, 2020 My Ricoh MFD are on a lease which includes the toners and staples. This is great as I do not have to worry about ink at all. All !! MFD are the same and use the same ink. Whenever a MFD gets to 10% ink it automatically orders a new one over the internet which usually arrives in 3 days. Works great!

We do have a few models that can't do this, so we do still keep an inventory and stock juuust in case. Super simple, just a list of Toner Type, Colour, # in Stock, Used, Printer Model, Location. We try to keep 5 in stock so "Used" is just 5 - # in stock. Conditional formatting on the "in stock" so when it's at 2 it goes orange and we order some more. Very basic, does what we need for the 3 toners types we keep in stock.

Keep a full inventory online which is also how you order more supplies by doing a monthly stock take. They take away old cartridges for free.
Fazza Posted January 20, 2020 Posted January 20, 2020 We use HP's WebJetAdmin (it's free) which we use to manually look at toner levels. When we see toner on the shelves getting low, we tally up how many we need to bring back up to an acceptable level and then we look at WebJetAdmin and any toners less than 20% get added to the tally. Touch wood, we've yet to run out of toner and only have to place an order once a month - we have over 60 printers and this works well for us.

For the printers we just have a spreadsheet with titles of Toner, Room, needed stock, in stock, colour Everytime a toner is used we change the number 'in stock' and when it gets to the 'needed stock' we make an order. We also periodically check all the toners and make an order.
