Does anyone know if this would be possible within SIMS... Our admin staff want a report produced during period one that shows all the missing marks or absenses for the whole school. This report would have to show the pupils name, what mark they were given for period 1, what lesson they have for period 2 including the class/rooms numbers they are supposed to be in for period 2. This is to allow checks to be made to see if the pupils are acutally absent or whether it was a teachers error.

This should be possible, using subreports (the blue boxes below the regular student fields)

 

First add the basic student details you want then the lesson marks subreport and add mark. A little book icon appears on the right to filter the subreport which you can use to filter to period one, date choose at run time.

 

Then add the period subreport (which might be nested in the classes one). Add the room teacher information you want and filter to period two, date set at run time (when you run this report you're going to have to put the date in three times).

 

Now move to filter the whole report. Set the filter to lesson marks exist (by choosing that subreport), where mark is missing or absent, period is one, and date is choose at run time.

 

That should work. It's been a few years since I've made a Sims report so there might be a better way-like an option to choose 'today' as the date. Tho as Sims develops at the speed of a trilobite maybe not.

Can't seem to get the report to work... I'm getting student names appear but no marks for being absent are appearing, as well as the teacher and classroom for period 2.

There is probably a neater way of doing this, but what worked for me in the past was to filter on the 'ID' field (in CES Third Party Fields) of the lesson mark subreport. This ID includes the start time of the period as defined in the timetable cycle. So in the following screenshot I have filtered to only show period 1 on the given date (our period 1 starts at 8:45AM).

 

When you say they want to see all the pupils with no mark, or absent do you mean for lesson 1 or the AM session mark? The latter would be more standard and would mean that you would have to use the Attendance Marks sub report. So you would have 3 sub reports:

 

Attendance Marks - Showing the mark field and filtered for the current date and statistical meaning = No Mark, Unauthorised Absence, Authorised Absence with 'Display records with no such results UNticked

Lesson Marks - Showing the mark field and filtered for the current date and 'ID' contains the time for period 1

Lesson Marks - Showing the class, teacher and room fields and filtered for the current date and #'ID' contains the start time for period 2.

 

If you're completely stuck I'd be happy to knock together a report definition file and get it to you somehow (can I upload these to Edugeek?)

That works great, is there a way to add say period 2 to that report? Also I filtered out the marks to only show unauthorised absence but it's alowing all the students, even those with a present mark.

To add the period 2 info just clone the lesson marks sub report you've already set up (highlight it and click the blue curly arrow to the right) and then amend the ID filter to include the period 2 time.

 

If you are seeing pupils who don't fulfil the filter condition you probably have 'Include Records with no such Lessonmark' ticked in the sub report in question. Just make sure this is unticked for the one sub report this applies to (AM reg, or period 1 whichever you use)
