ParentPay , Cashless Tiles and UPN's

We currently have a ton of kids in pre-admissions which are external sixth former's waiting to come in.

 

None of the Sixth former's have UPN numbers ( will get them after they start id imagine) so they wont even upload to parentpay so we can give them a letter .

 

I spoke to parent pay and they basically stated if i assign them a UPN number ( temporary) this means when we do finally get a UPN from a previous school it will create a duplicate parentpay account !

 

How does every one else handle their cashless till system ? otherwise these kids will be waiting a long time for food ! ( obviously this only applys to external sixth form as in year6 we get their UPNS right away)

You could ask for their UPNs now?

 

Alternatively they can have packed lunch for the first day or two?

 

Or get their UPNs in the summer dependent on their old school having some admin staff available in the holiday?

This isn't going to help, but I really think Parentpay (or anyone else) shouldn't be using the UPN as the UID now. There is no need as every MIS will have alternative identifiers that could be used which will not count as personally identifiable information in the real world. Equally, some service providers who sync from SIMS use the Admin number which is useless if you have MATs using a single service as there will be duplicates. I think for SIMS users, the 3rd party field, External_Id is a much better option nowadays. I'm sure other MIS providers will have something similar.

As far as I know, Parent Pay will also match on admission number without a UPN (currently checking this with Parent Pay). This means if you admit your externals so they have an admission number, they will sync to Parent Pay. We have an inset day before students are back in when we are planning to admit our external 6th formers who attended enrolment. That way we should be able to synch to Parent Pay and generate letters. Hoping this is right...
