Homer3334 Posted May 24, 2018 Posted May 24, 2018 Hi All, Here's a weird one, its probably a silly question but we've discovered that when one of our clients creates a new staff member in SIMS, there "Role" (such as Employee, Teacher, user) doesn't come up as 'Employee' automatically. We are trying to add the "employee" role to these teachers, but can't find it anywhere. Anyone know where to go? Feels like its should be straightward but we just aren't finding it! Steve21 Posted May 24, 2018 Posted May 24, 2018 Normally that means they didn't add them with the right name/dob etc, as it should auto link the two together when the sysman style login is created. I know a lot of HR add a fake dob and then modify it after etc but that won't link them Steve
Esteban_Child_of_the_Sun Posted May 24, 2018 Posted May 24, 2018 When a person is created in SIMS they are given their initial role, if they only have a role of User, then they were created in system manager and don't have a personal record yet. All you need to do is go into the personnel screen and add someone with the same forename and surname, this should bring up a Matched People screen where you can select the person with a role of User and this will give them a role of employee too. 3

This worked perfectly for adding the 'Employee' role, thanks very much. I think the problem is when the users were initially set up, they were created individually on System Manager and via Personnel, so they are duplicated. The Personnel version has all the correct roles - 'User, Employee, Teacher'. The System Manager version now has User and Employee. Is there any way to merge the two together so they are not duplicated?

Esteban - I asked my support company and they could not find any reference to this patch. Is there an actual name for it? Eg I have a person in Manage Users with a SIMS role of User, but the HR record of the person has not been linked to that version (we've had new HR staff who have done things not in prescribed order). So then in this situation you can get stuck.
Esteban_Child_of_the_Sun Posted February 28, 2023 Posted February 28, 2023 SIMS Database Employee Merge Utility.pdf ESS changed the patch number to 25628, you can request it to be released on SOLUS. I've attached the handbook that goes with it. The process is rather simple (though the document isn't particularly easily readable), you make a duplicate staff member linked to the system manager user account, rename the existing staff record to prefix the forename with zz and run the DBDiagscript to check it is all OK then if it is run the patch. 1
coolhands Posted February 28, 2023 Posted February 28, 2023 fantastic thanks. I just did a little investigation. I've got 14 (real looking ie not Temp Supply or something) staff in the User area who are 'active' yet do not have any HR record. Some (probably all) may be old / not here I guess although we only had sims since 2018. Should I just delete them if they've never logged in? (ie it lets me). What if they have logged in so it won't let me delete them? Will bug me.

The others you can check the user access log to see if they are still used this term and if not deactivate them (which should be done when the staff member leaves for security reasons anyway)
