GDPR Seeking Permission from Parents

Hi folks,

 

What are people doing in order to collect the compulsory opt-IN permissions from parents for things like newsletters etc?

 

Also how are collecting opt-IN for the parental consents, eg emergencyt medical care etc?

We're not planning to collect opt-in for emergency contacts/ medical care - they're required to allow us to perform our duty to keep the children safe. We'll collect the information in the normal way and issue a privacy notice to explain why we need it, who we'll share it with and how we'll process it.

 

Consents for trips and newsletters and certain use of photos will be collected on the same form, but it will be a tick box. The privacy notice will explain what we'll use it for. Some use of photos will not be optional - we will record it on SIMS to allow us to identify the child and we use them to collect evidence of academic process. We will need consent to use in publicity or on the website or displays.

Yes the Privacy Notice is what we'll use to collect medical etc too - just want to avoid paper for the rest.

 

Thinking a google form or similar but was hoping to tie it into SIMS or our Portal to make managing the responses easier...!

The SIMS Parent App can do your consents for you, and it's tied straight into SIMs.

 

The Lite version is totally free and I'm pretty sure Capita said they released it for this very task.

Thanks Bob. We use edulink which can actually collect medical consent etc now I come to think of it! Though I think those consents can be tied into the privacy policy.

 

I don't really want to roll out another portal to parents. I think for consent to our marketing materials we may use something like surveymonkey...

We're issuing a form in the next week or so to collect all permissions for the remainder of this year and it'll be a form as part of the new starter pack from September. We're recording in Integris and we haven't signed up for the app, so it'll be manual processing for the office staff.

Makes sense to integrate it into the admissions process, but don't you have to collect these permissions every year?

We get the permission renewed every year anyway.

 

Situations change, AUP changes, our eSafety coordinator insists on collecting a permission to access the internet every year, years 5 and 6 get sandboxed email addresses so the permission is different almost every year anyway so we'll just be taking marketing, medical, photo video and uses, etc onto that.

You should review every two years as a minimum. I would suggest an annual email to parents to say please review your email on the SIMS parent app lite or whatever other method you are using for data collection/consent! Hopefully not paper sheets in bags!

EduLinkOne? I would contact the guys at Overnet and see what they can do, they're a good bunch and responsive. They might be able to give you a solution so you don't need to go to another system. Or you could perhaps use your VLE.
