MYK-IT Posted December 8, 2017 Posted December 8, 2017 Hi, Any assistance in relation to the following scenario would be appreciated: A member of staff (A) created a calendar and shared it (reviewer only) with another member of staff (B). All works fine etc. Staff member (A) leaves, and Office 365 account is also deleted Staff member (B) still has access to shared calendar (as reviewer only) but now need to change to full access How can this be done? I have searched and tried numerous PowerShell commands that list calendars / folders within an existing Office 365 account. But since Staff member (A)'s account does not exist anymore I can't use the commands to change permissions. I don't even know if there is a way of listing all (shared) calendars within our Office 365 tenancy? We could start fresh, with a new calendar but it's always better to learn and how to resolve things! Thanks,
snagrat Posted December 8, 2017 Posted December 8, 2017 Where was the calendar created because if it was Staff (A) own calendar then it should have been deleted when their account was deleted? 1
MYK-IT Posted December 8, 2017 Author Posted December 8, 2017 Where was the calendar created because if it was Staff (A) own calendar then it should have been deleted when their account was deleted? That was what I was (initially) thinking... It was an additional calendar that Staff (A) created and shared.
psydii Posted December 8, 2017 Posted December 8, 2017 (edited) If the calendar isn't listed under the shared tab in Exchange Online Admin - Recipients, then the calendar would have been in User A's mailbox. Unless User A was deleted less than 30 days ago, you aren't going to get it back. https://technet.microsoft.com/en-GB/library/dn186233(v=exchg.150).aspx If User B still has access to a cached copy of the calendar, they can export it to excel or other, and then import it to a new calendar. I would recommend creating a shared mailbox to hold the calendar to avoid the risk of data loss in future. Edited December 8, 2017 by psydii 1
MYK-IT Posted January 16, 2018 Author Posted January 16, 2018 Another question... kind of associated with above (which was resolved) User (A) has setup an additional calendar, and shared it, for example, to Users (B) © & (D) etc - All works fine User (A) in now on-leave, but User (E) now also requires access to this specific Calendar Using PowerShell, I have managed to add User (E) with [Editor] permissions for this specific Calendar. How can User (E) now add, and access this calendar within their Office 365 (either OWA or Outlook) as the owner, User (A), is unavailable and cannot send out a "shared link" etc It must be something simple, and possible (without having to resort to logging in as User (A)!) Thanks.
Mayki5 Posted January 16, 2018 Posted January 16, 2018 As the permissions are already set, User E only needs to open the calendar on their end. In Outlook, Right-click > Add Calendar > From Address List then select User A. In OWA Right-click > Open Calendar and search for User A in the directory. 1
snagrat Posted January 16, 2018 Posted January 16, 2018 I didn’t think was possible with additional calendars, only the default one 1
Mayki5 Posted January 16, 2018 Posted January 16, 2018 You should be able to pick it up from Folders view in that case. May need to add the root calendar first for it to populate
MYK-IT Posted January 16, 2018 Author Posted January 16, 2018 (edited) Well, after 2 hours of very comprehensive telephone (and remote desktop) support from Microsoft (within 5 minutes of logging the initial service request!) the bottom line is that it is not possible... besides logging in as the User (A) and accessing / modifying the calendars etc. As @snagrat mentioned, if it was in relation to the default calendar, this would be possible and quick / easy to do (as per @Mayki5 instructions) but it is in relation to additional (private) calendar(s) which have been later shared. Even after adding yourself "Full Access" rights to manage User (A)'s account to allow you to open and view all the calendars etc, you are unable to (re)share or change permissions etc. Moving forward (to stop this happening again, e.g. shared non-default calendars) it was recommended to start using [Groups] or [Public Folders], and create specific / organisational calendars within there etc. Edited January 16, 2018 by MYK-IT
