Lockdown procedures - taking registers

We are looking at our Lockdown procedures to implement if there is ever any kind of major incident in the School. If you have done this for your school how do you take registers in a lockdown situation?

 

Can't us SIMS as you may have other students in your room besides the class you teach if the situation requires them to go to the nearest room. Here we are looking at the possibility of having a shared excel workbook that has all student names in and then each staff member would indicate if a particular student is with them. Potentially there could be 50-60 staff completing this workbook and saving it at any given time but I am not sure if there are limits on the number of people who can work on shared workbooks.

Hypothetically, if you had iPads with a 3G/4G SIM connecting to a cloud MIS, this is the ideal scenario as it will safely work off the network.

If you don't want to rely on the internet, it doesn't take much of a leap to say you shouldn't be relying on technology at all in an emergency.

 

I would argue that plan A can involve the internet, but for plan B it may be that the best you can achieve is a roll call as per fire/critical incident procedures after evacuation.

Our roll call procedures for evac are paper based. Everyone gathers at the evac point and then paper registers are taken. In the event of a lockdown paper registers wouldnt be any good as there would be no way of getting them to a central location. The idea behind not relying on the internet was the 'what if someone cut the cable coming in'. The network is more reliable as the server room is locked, all switch cabs are locked and wiring is in the ceiling void or in trunking. There's lots of 'what ifs' in these scenarios.

If you are being targeted by someone who cuts your internet on the way in, there is nothing you can do. It is very very low probability, and they would have done enough research to void any mitigations you might try to put in place.

 

Lock down and wait for the Police to give you the all clear, then do paper registers.

 

If you have lesson by lesson registration somebody ought to be able to get a report so you have a 'virtual roll call' to give to whoever needs it. You should also have large format site plans so your CIRT can brief who ever on student locations etc.

even paper based registers with a receptionist/ person in charge calling each class (phone/walkie talkie) to get attendance is better than nothing

 

as a IT tech i hate saying this - but technology isn't always the solution...

We do have lesson by lesson registers but we also have a large 6th form who have study periods so may not be in a lesson.

I agree technology isn't always the solution but I have to cover all bases as SLT have decided this is the way to go.

During a lockdown you shouldn't need to take a register, only when you have been evacuated by emergency services during a real event. During a lockdown staff and their class are still in danger, immediately after the register has been completed until it is either all clear or you have been evacuated.

 

During an evacuation for a fire alarm, you take a register to find out who is missing. However the fire services don't care about registers, they want to know if the buildings have been swept and clear.

 

The registers are for after the emergency to identify missing persons.
