[sims] SIMS New Academic Year Promotions

Good Morning,

 

I am after some advice regarding the promotion of students into the new academic year in SIMS. At the moment the students are showing on the pastoral lists as members however when I look at the academic structure and then curriculum assignments there are no students.

 

I have gone through the SIMS help book a couple of times now but nothing seems to be working and when I spoke to CAPITA yesterday they just confirmed everything that I already knew and told me to change the date to the first day the students where in school in September and all the students should show up (which they haven't)

 

Any ideas on what I have missed or am not doing?

Have you changed your academic year in Tools - Academic Year? There are a few places that the new students don't show (bulk print of timetables for example) if you are not in next year.

Restart the SIMS client (just in-case).

 

Are you in the correct Academic Year? Tools > Academic Management > Set Academic Year

 

Has your timetable been exported to SQL? Has the export date been carried out within the same date range as your new academic year? Check teachers have a timetable to see if it exported properly. Reports > Timetables > Staff Timetables (remember to set the date and click Refresh).

 

Have students been promoted to new year groups? Manually check this in next year's pastoral structure. Focus > School > Pastoral Structure > Next Academic Year Structure > Right Click Pastoral Structure > Members (this displays a list of which year group students are in). NOTE: Students with start dates after the first day of term require you to change the date on this screen to on or after the start date or they won't appear.

 

Have students been assigned to bands? You need to assign them to a band before you assign a class or they won't appear. Focus > School > Academic Structure > Curriculum Assignment by Scheme and open Base Bands for each year group then assign students to a band using the tick grid. This should have been handled by SIMS when you ran Routines > School > Promotion NOTE: Promotion routine may require you to tick the Override boxes to work correctly.

The error message that I am getting now is "no schemes derived from the selected group". Any ideas?

Sounds like a timetabling issue. You should have a timetable split into bands. Inside the bands you have blocks. Inside the blocks are your subjects which contain your classes. When you assign someone to a band, they become eligible for the blocks held in (or across) that band. You open the block and assign them to a group within that block. This assigns the student to the subjects held in that block (and in more complex timetables can require a student to be assigned to classes another level down).

 

You need to speak to your timetabler and check it has transferred properly.

 

 

Example:

 

A student is in Year 7. They are assigned to 7x.

Inside 7x is a Humanities block containing three groups labelled 1-3, each containing History, Geography, and RE.

By assigning the student to group 2 within the Humanities block, they would be assigned to the classes 7x2 History, 7x2 Geography and 7x2 RE.

 

I've tested and I get this "error" if I drill down deep enough that I run out of tiers. I've hit the end of the timetable as I cannot proceed any further through the timetable structure. Try starting with the bands, right click one of the headings and choose Link to Curriculum and tell me how far you can get. You should be able to go through the order Band, Block then get the error when trying to Link to Curriculum on a group inside a block. If you get the error trying to drill down into a band, it has no blocks assigned to it. If you get the error drilling down into a block, it may be an empty block with no assigned subjects.

Mine is all working fine, but I see that message if I click the Curriculum button when I am in the allocation screen on a cluster. What are you actually trying to do when you see that message?
