genesis Posted June 24, 2016 Posted June 24, 2016 Hi We have Exchange server 2007 SP3 and outlook 2010 and 2013. I have a request from one of the staff that she wants to setup a calendar, where this calendar must be made accessible for all 150 Users across our whole organisation . Only this designated user will be owner of this calendar, inputting the appointments. All other users must be able to only view the calendar. I have seen some say to create a Public Folder Calendar and others say to create a Resource Calendars by-creating a "Room Mailbox" in the EMC Please suggest what would be the best way of setting up this and how to share the calendar to all the 150 staff. Any help would be great. Thanks in advance
Localtechie Posted June 24, 2016 Posted June 24, 2016 My old place used Teamup Calendar - Free shared online calendar for groups It is all online based and you can setup different users with different editing access so that some can only view etc. We the used them as part of our presentation PC's to show the weekly calendar for the school. 1
misslp Posted June 24, 2016 Posted June 24, 2016 We used to use Public Folders but this became a nightmare when we tried to move them from Exchange 2010 > 2013. I created a separate mailbox (user/room) called 'School Calendar' which users can find/open through 'Open Shared Calendar'. Seems to work fine, haven't heard any complaints - it's been in use for a year now. Everyone has 'Reviewer' and one person has 'Editor' access. 1

misslp Posted June 27, 2016 Posted June 27, 2016 (edited) How do you want your permissions set up firstly - do you want it to be a free-for-all, where everyone can write to it, or do you want to lock it down so that they can only review it. If the latter, I'd recommend what I mentioned above, of having one/two people who can add/modify the calendar. This is what I sent out to staff to let them know how they could access the calendar.SchoolCalendar_HowTo.docx Edited June 27, 2016 by misslp 1
genesis Posted June 28, 2016 Author Posted June 28, 2016 Thanks for the post Only one user will have the Owner permission, who will be editing the calendar on every day basis. All other user will only be a reviewer- they must not be able to edit the calendar.
misslp Posted June 28, 2016 Posted June 28, 2016 (edited) I think the biggest limitation you've got is Exchange 2007, as the Powershell commands won't work in 2007 (they work from 2010 onwards). Upgrading your server would be best - but if that's not possible, I'd recommend you follow the article: https://social.technet.microsoft.com/Forums/office/en-US/70981918-539e-4343-99c7-2501cda26d93/powershell-audit-calendar-permissions-for-exchange-2007-users?forum=exchangesvradminlegacy (there's a tool called PFAdmin - Download Microsoft Exchange Server Public Folder DAV-based Administration Tool from Official Microsoft Download Center) Edited June 28, 2016 by misslp 1
genesis Posted June 28, 2016 Author Posted June 28, 2016 This setup is for only another year and planning to migrate to office 365.
