I'm looking for the best way to Share a Calendar in our School.

 

As a start I have manually created a new "All Staff" Security Enabled Email Group for all my staff.

 

I have then created and logged on as a Office 365 user called "Calendar" and shared its calendar with the new Security group. Everyone in the group now seems to have received an email (below) inviting them to Accept the sharing of that Calendar. This all works fine.

 

However, what happens when a new member of staff joins and they also need access to that calendar?

 

I have just created a test Office 365 user so see, and added it to my All Staff security group, but so far the test user has not received any form of notification that they have access to the shared Calendar. Any ideas?

 

Also, am I going about this in the right way? Is there a better way to achieve this?

The new user added to the group won't recieve a notification as it is basically an email sent out when the calendar is shared. You could forward said invite on to the member of staff yourself or I just did a step by step set of instructions for adding the shared calendar to Outlook / OWA and emailed them round to staff.

The invitation feature in office is a royal pain in the backside I feel.

 

What is wrong with right clicking the calendar, sharing it and setting reviewer rights or what ever is needed and then just adding said calendar on the users that need it.

 

If said new staff members are member of that security group all then need to go is to go calendars right click add calendar and then select the right option, how difficult can it be!

I had just been through this at my place... Such a pain!

created an account called whole school calendar, which I set editing rights to certain staff and read only to others, but have to send out email to all new staff

 

What happened to the good old days where you could have it forced into peoples calendars lists.

 

Also had the issue where staff wanted to access the shared calendar on mobile devices (Which currently isn't possible for shared calendars) So I had to change the settings In Office 365 Admin to allow users to publish their calendars to the net and then login to the calendar account and then publish that calendar to the net, then send the link out to staff who wanted it on their phones! Long process but if its a solution if you come across this issue!
