Papercut MF, Sharp MFP's and scanning to email via Office 365

We had a few Sharp MX-5140's installed over the Christmas holidays along with Papercut MF.

The one function that we would really like to have working but isn't is Scanning to Email (we had it before, Canon and Uniflow).

The Sharp guy who set the MFP's didn't know how to do it and I've had a go and have not managed it either.

I've got a ticket open with Papercut but they are being uncharacteristically slow with an answer.

Has anyone managed?

Does is need to be done via the Sharp web interface or Papercut or a bit of both?

I have setup here with a RISO - for us its done through papercut. We have a machine with Papercut web print running on it which checks a mailbox and then processes the print job, we can do word, excel, pdfs etc. I had to make sure that the staff email addresses were present in AD so it knows who to charge the job to etc.

We have Sharp+Papercut+GAFE and scan to email works.

You need to setup the email relay in the individual sharp machines to use your O365 relay, and allow port 587 open to them.

The papercut provides the account lookup, but the printer sends the email.

I will send you a step by step guide on how to do it as I am just about to cook tea, you will need to create an account within O365 for scanning with a none expire password and your copiers will need to communicate with smtp.office365.com.

The attached bulletin shows how to setup a MFD to scan to email, for the SMTP just use smtp.office365.com, you need to allow your MFD's to talk to this address so may need to configure your firewall.

 

To use integrated scanning within PaperCut which the 5140's accept you need to follow this:

 

For integrated scanning, you need to create a standard application on the device:

1. Log in as an administrator to the device’s web interface using a web browser (e.g.http://device-ip/ ).

2. Navigate to ‘Application Settings -> External Applications Settings -> Standard Application Settings’.

3. Press ‘Add’ to create a new application.

4. Enter an ‘Application Name’. This is the application title presented to the user. ‘PaperCut Scanning’ is the recommended application name, but it is up to you.

5. For the ‘Address for Application UI’ enter: http://:9191/device/sharp_osa3/ui/scanApp.jsp

6. Select the ‘Use Custom Icon’ checkbox, then set the ‘Select File’ to:

[papercut-install-path]/providers/hardware/sharp/

7. Press ‘Submit’ to save your changes.

 

Once done within the devices option in MF you can setup the scan options there, even to home directory which will be pulled from AD. The PaperCut application service on the server needs to be running as a domain admin or one that can allow the service to start and write to the directories if using scan to home directory. I have put in a change request for this to be changed so you can specify which account.

 

To setup scanning with PaperCut you need to ensure email is setup which instructions are included in this KB.

 

Scanning can be deployed via user groups or to all. If you don't want to use the inbuilt scanning as long as the machines are configured to scan (see bulletin) when you press email there is a button called scan to oneself on the right hand side this will fill in the email address as long as its in AD for PaperCut to sync. You can also force it to auto fill in the email address as soon as they press email.
