I have ran numerous reports over the past few days and still not getting what I need.

 

I want to send a letter home detailing Behaviour or Achievement incidents for the previous week.

 

I can gather all of this information and display it in excel brilliantly, but when I design an RTF report or Word mail merge it displays all Behaviour/Achievements this academic year as oppose to just the previous week. I have filtered by date and added parameters but still no joy.

 

I am sure SIMS had a template for this report but it doesn't seem to be there anymore. Has anyone else done this kind of report successfully?

Are you able to set up a behaviour subreport with no fields? This should return a count of results instead of the column contents (so if you filter the subreport by "Date Is Between x and y" you will get the number of incidents (not points!) for that date range).

 

EDIT: Tried it and it works!

Thank you - what would be best for me to do next - create the fields for the letter under the behaviour subreport?

 

EDIT: Tried that and when I run the report from the students profile - to bring up an individual letter - the whole academic history appears.

I used mail merge and it worked for me. Hi , you have behaviour incidents. Ta ta! One on each page.

 

Try it with only student name and the count field first to see if you can get it working. Your output should look like this in preview:

 

 Name & Reg | Count

 

eg. John Doe, 7K | 10

 

Then create a new Mail Merge Word Document (don't bother with RTF). You can then write your letter and add the fields as mail merge field. Eg.

 

Hello Please note you have behaviour incidents this week. Please behave!

 

Then click preview results. And see:

 

Hello John Doe, 7K Please note you have 10 behaviour incidents this week. Please behave!

 

DO NOT CLICK SAVE. Click close, then click save. Then immediately save the Word report and click Run to preview the results.

 

 

(Ooops. Incidents not points. You can't add up points in SIMS reports. :( ).

Many thanks - this has worked great for me.

 

I have also managed to insert the Incident Type/Subject/Incident Date into a table - but so far each document only displays the first Behaviour Incident of the academic week.

 

On an RTF report I would usually create a table inset RECORD START and RECORD END and everything within my parameters would be there.

 

How can I achieve this on Word Mail Merge?

That's where I am struggling - what I want to create seems to be half available on RTF and half on Word Mail Merge but not together. So I'm not sure how I can create one document detailing what I need.

I had this for a prospectus document earlier in the week. My solution was a bit of a hack...two separate documents photocopied on to one sheet back to back!
