Hi all,

 

So I have the task this week of getting all our systems ready for next year by moving classes up one year and setting up maths classes and stuff... But i haven o idea how to use sims to get the information I need. One of the ladies in the office gave me a excel with all of next years new starters, so i know this information is available somewhere.

 

I would ask someone who uses sims - but literally no one is here in school this week except me.

 

What I need is:

 

Tutor Groups that every student will be in next year & What maths class every student will be in.

 

anyone have idea how I would do this? I feel like its probably something in Reports?

 

Also, I'm hoping to look into setting up RosterSync through the summer as well - which will require me to know more about sims.

SIMS relies on Effective Date to run a report in the past or future.

 

In the menu, go to Reports -> Class List -> Retgistration Group List.

 

Select the groups you want to display and run the report to show the current year group.

 

Click Settings in the toolbar and change the Effective Date and Membership Date to some time in September after the Year 7 students are due to start (example, if they start on 2/9/15 set it to 2/9/15 or later even if your new Academic Year starts on 1/9/15).

 

But beware, this is assuming someone has assigned the Year 7's to a tutor group during data entry. If they haven't that job might fall down to you as the person doing the rollover, in which case the information is sitting in someone's inbox somewhere and not on SIMS.

I thought I had it working - but then realised I didn't "search"

 

When I select dates after september and click on search - its just comes up blank and shows no classes or staff. but this confuses me because I had someone already get me all the data from sims (at least i thought they did? They used reports to get this list of students that I aready have) and so I woulda thought they were on the system... Also, Shouldn't staff show up at least?

Check the start date on the new Year 7's. One common problem I have with new applicants, especially when assigning them registration groups in Pastoral Structure, is the results are blank unless I set the date to on or after their date of admission.

 

You want to do the following in order:

 

- Create new academic year via Routines -> School -> Academic Year

- Switch to the new academic year in Tools -> Academic Management -> Set Academic Year

- Setup new Pastoral Structure in Focus -> School -> Pastoral Structure -> Next Academic Year Structure

- Setup Promotion Rules with Routines -> School -> Promotion (if you haven't done this step yet nothing will work in my first post!)

- Then you can assign applicants to tutor groups via the Pastoral Structure screen from earlier and right clicking Year 7 Reg Groups and picking Members

- Finally, you can assign students to timetabled classes using Focus -> School -> Academic Structure -> Curriculum Assignment by Scheme

 

I strongly recommend checking SupportNet (My Account as it's called, whatever Capita!) to look at the guidance notes on there.
