Exam timetables/data protection/date of birth

Hi All,

 

Our exams organiser has asked if we can put student's exam timetables publicly accessible on our website - The issue with this is that the pdf report produced includes students full names/UCI/ULN/Date of birth.

I'm fairly sure this would violate the DPA, but is there any guidance on this?

I'd err on the safe side and not do it. Full name and DOB is a definite violation of DPA. UCI and ULN I am not so sure of but unique pretty much means identifiable if you had the right information. Edited March 3, 2015 by CAM

I too say no. Name and DOB is a good enough reason. UCI and ULN identify an individual too. It's definitely a no-no.

 

You immediately allow a student to be identified as going to your school. It's a Child Protection concern never mind the DPA

If you can strip it down to name + internal candidate number, you should be fine. But if you're using SIMS, I can't see a way to do that via Exams Organiser.

 

You can use the "send timetables" function of InTouch (Reports > Exams > Send Timetable), which strips it down to:

 

Season:

Year Group:

Candidate Name:

Candidate Registration Group:

Internal (school-issued) candidate number:

Timetable stuff goes here.

 

For sending to the student via email.

What you don't want is something that raises Child Protection concern. Name and date of birth enables anyone to identify that a particular child attends a school. This should be ringing alarm bells with your DCPC

strong possibilities of raising children protection concern we have to blank even childrens names on books in photographs!

Ah ok - Thank you everyone, you've confirmed what I already suspected. Unfortunately we don't have InTouch (& can't afford it) so I've asked them to come up with an alternative solution.

No reason why the overall timetable can't be posted, though - wouldn't be too much of a challenge for candidatesto deduce their own timetable?

Can't the MIS (SIMS or whatever) provide a personalised timetable on student and parent logins?

Have you seen some exam modules options? With I think [at the last count] 30 different science papers at the same time, some of which are called the same thing...

What is their reasoning behind them being publicly available online? Perhaps there is an alternative solution such as emailing each student a copy of their own timetable.
