Schedule Auto reply in Outlook 2010

Hi

 

I have a staff member that only works part time they receive a lot of emails that are urgent and so on their non working days they want an auto reply saying they're not at work today bla bla bla. Obviously an out of office reply could be switched on each week but ideally i'd like to schedule it, her pc can be left on all the time to schedule on/off so that's no an issue but can't find a way of scripting

Forgot to say we have exchange email but it is provided by an external company so need client side

I understand this would be a great addition to future releases coming for a support background it would be nice to tell people that; I like most people have a life on the weekend and I will respond to their email when I return. Unfortunately Outlook does not have this feature so I took it upon my self to make a workaround.

you could deal with this 1 of a few ways which I had implemented

 

you could tell the staff member to stop being lazy in obviously a customer service manner it is only a couple clicks and no more than 15 seconds of their busy schedule.

 

if that doesn't work you could recommend a signature detailing the his/her working hours. a bit like a shop opening hours. people will start to get the hint.

 

if they are not happy with that and you want to show off you could implement the following but be warned implement it for one and everyone will want it. believe me it is more hassle than it is worth.

Using Outlook set up an email template which will act as your auto reply message and save it in templates in the outlook templates folder

set up an rule as shown in the picture

You are basically setting the rule to look at the day in the header and respond if it matches. I have also asked it to flag the email to follow up but you could do what ever you wanted after that with the rules. this would only work if the computer was left on and outlook was open.

 

you could also run a vb script using rules also but the script would have to run but this would also rely on outlook being open and connected

Is there any way of scheduling a Auto reply based on you calender items? So if i have an appointment in my calender that is set to be 'out of office' can i set an auto reply for them?

 

I don't think this is possible but thought i would ask.

Not that I know of. like I said that feature is not in Outlook at present however it would be a great addition if it was. maybe log it as a feature you would like see implimented
