jenking Posted July 16, 2013 Posted July 16, 2013 Hello everyone We are in the testing phase with Google Apps, its working great and hope to start rolling out in September. I am just wondering where you guys are with Safeguarding. As we plan on updating policy's along with acceptable use agreements and I'm hoping to advise our SLT on what the best way to deal with Safeguarding. Have you implemented any extra software solutions to help keep track on email content and so on? Or have you just left the Students and staff to get on with it? As much information as possible would be great. Thank you.
zag Posted July 16, 2013 Posted July 16, 2013 No need really, its just an email system at the end of the day. Office 365 has perfectly good bad word filters, but I'm not sure what else would be needed from a safeguarding point of view. 1
edutech4schools Posted July 16, 2013 Posted July 16, 2013 We informed the ICO Data Protection and Freedom of Information advice - ICO.org.uk when we moved to Gapps. Not an issue but something you should do if data might leave the EU. 1
elsiegee40 Posted July 16, 2013 Posted July 16, 2013 We prevented sharing of documents outside the school's domain by default. It will be allowed only if someone comes up with a very good reason. Wesaw it as too big a Data Protection headache to pllice. We don't allow the social side of Google Apps - chat and Plus 1
edutech4schools Posted July 16, 2013 Posted July 16, 2013 We prevented sharing of documents outside the school's domain by default. That Domain is not really in the EU but on a server somewhere, so you would still need to contact ICO. I have done this 5 times and all they want is an email saying you are using Gapps. 1

What we don't want is staff sharing an innocuous folder with a third party and then sticking a sensitive document in it. They can only sharefolders and files in house... it's safer! 1
CyberNerd Posted July 16, 2013 Posted July 16, 2013 We also just informed ICO that we were sharing data outside of the EU under the safeharbour terms. 1
AliG Posted July 16, 2013 Posted July 16, 2013 I believe you can also add Google Vault for email auditing and retension etc. extra cost though from what i've seen. 1
CyberNerd Posted July 16, 2013 Posted July 16, 2013 I believe you can also add Google Vault for email auditing and retension etc. extra cost though from what i've seen. I was quoted $10 per member of staff per year. Students are free. 1
