Hello - we are new to Bromcom and I'm just looking at setting up the email part of the system. We use gmail for our email system, but I can't get any of the google smtp settings to work? Can anyone let me know what settings they have used and whether they have had any luck in getting this to work successfully. If it doesn't work have people just setup their own email server and used that? Any thoughts would be appreciated.

Welcome to Bromcom. I am afraid that we do not recommend that you use gmail for the SMTP settings in Bromcom. Google enforce rate sending limits on emails which means if you send a bulk emails it is likely that it will not be fully sent. If you give the support team a call we can advise you on other options.

This is a surprise to me - it would be a serious issue for the schools I'd worked with if we were looking to move to Bromcom. I'm assuming that Gmail is the solution a school has as a key service as part of a G Suite for Education implementation. This article says the following.

 

  • The maximum number of messages a user can send in a 24-hour period is 10,000. However, this can vary, depending on the number of user licenses in your G Suite account.
  • The maximum number of unique recipients allowed per user per 24-hour period is approximately 130 times the number of user licenses in your G Suite account.

 

Have you had schools exceeding those limits?

It's purely depends what purpose you will use the GMAIL account for. If you will use to schedule reports and email to the users, then using GMAIL is not a problem at all. If you are planning to inform parents for their student absences, again this would not be a problem, as number of emails that system will send is minimal and not frequent. However, if you are planning to use to communicate with PARENTS on daily basis with mass email campaigns or announcements, then this will be an issue with GMAIL, as neither GMAIL or MICROSOFT mail accounts are designed for those purposes. For bulk/mass and frequent email deliveries, generally email relay services are used for guaranteed and speed delivery. GMAIL and MICROSOFT has many limitations, i.e. sending email speed, number of emails, connection numbers, etc.

 

Most of our customers, who are using our COMMUNICATIONS module for MASS EMAIL ACTIONS, they use proper 3rd party email relay services (like mailjet, sendgrid, etc.) or they purchase email relay service through us with monthly quota.

The maximum number of unique recipients allowed per user per 24-hour period is approximately 130 times the number of user licenses in your G Suite account), we do not recommend that you use Gmail for the SMTP settings in Bromcom. Google enforces rate sending limits on emails which means if you send a bulk emails it is likely that it will not be fully sent. Looking at what I believe is your MIS system it looks like you have now set these settings up and have them working? If you need any further assistance or want to explore other options please give the support team a call.

Thanks for the extra input. I can see using a third party relay service has value (presumably also exta cost), but in normal school use, I would have thought exceeding those limits would take some doing - unless I'm misunderstanding something key. I used to work on the basis of there being about 1.5 parents per pupil, so a fairly large secondary school of 2,000 pupils would equate to 3,000 email contents. That would mean a single user would need to email all parent on three separate topics within a 24 hour period. As a parent and governor, that sort of frequency would definitely cause some disquiet! That said, I do take on board it is a recommendation and that you acknowledge if a school is aware of the limitations, they can make their choice.

Hi Ditto, there is an additional cost but it is minimal and you do get a service designed for bulk delivery of messages. If your email traffic is not likely to exceed permitted limits then yes, you can use gmail for the SMTP settings in Bromcom. However the school needs to keep in mind that Google enforce rate sending limits on emails which means if you send a bulk emails it is likely that it will not be fully sent or the messages delayed.

We have just changed over to gmail for our email system from exchange. Within bromcom we had scheduled reports setup to send to staff on a daily basis, but now we have changed to gmail they aren't being received by staff anymore. We have gone into the system settings within bromcom and changed the settings to what we think they should be but they still ain't working. Any help would be appreciated.
