I've used VNC for this for a VI student in one of my schools and it works great. I'm not promoting this software but I used tight vnc on the desktop and the real vnc app on the ipad.

Im not the best person on here to advise on the rest but who told you that you will loose your .sch.uk domain name they are distributed by JANET and are the property of the school to do with as they please (within reason). I would contact JANET for advice on this.

I agree resizing photos would be my first step but also try using something like treesize to see how the storage is being used and who by. You may find staff are copying photos onto their home folder and then adding them to the shared folders causing duplicates. You wont be able to set permissions on your NAS as it will be formatted in FAT rather than NTFS which allows for permissions.
