Outlook, sharing calendars; do we need an Exchange server for this?

Afternoon all,

 

We've just appointed a new Head's PA, who wants to convert the Head's diary to Outlook 2010 (from paper). She therefore needs to set up delegate access; which we can't find.

We don't have an exchange server - is that the reason why it's not appearing where it should?

Is it possible to share a calendar without an exchange server (possibly also synchronising with an android tablet at a later date, too)?

We ended up using Google calendars until we went to Office 365

Outlook.com should give you free integrated calendars also but Office365 is free now anyway.

And persuade people to use it! Agree with all of the technical answers above, but we had far more problems persuading people to use a shared calendar than implementing the technical solution...

 

Two years down the line, we have less than 15% of staff using it regularly, despite me putting OWA links in the link bar on everyone's browser, writing policy in agreement with the Head and promoting at staff meetings.

Seemingly you can do it with a WEBDAV server. not ever done it myself but i believe you save the calender to the webdav direct from outlook and then send an email or link to the calender to those who it is intended for.

 

And im not surprised about the uptake staff here are the same with email tho it is better used now than ever before.

Thanks all! In the end, with a little cooperation from our ISP, I've done it with a sharepoint server, which didn't cost much (used recycled hardware and had a spare server license in any case) and was actually surprisingly easy to set up. Anyone that wants it can have it (I just create a site for everyone that asks, with appropriate permissions, and add a calendar which is then their diary), it's in it's own domain and facing outwards only, without ever touching our internal network and connects seamlessly to Outlook 2007+. It's also available for anything else we choose to throw at it in the future as we drift towards paperlessness, as it's better that our VLE (MOODLE) for doing calendars, workflows etc. Edited February 18, 2013 by BatchFile
