dyoung5 Posted May 6, 2011 Posted May 6, 2011 Hello,We are now doing all of our registration electronically using Lesson Monitor. We are having a problem with marks getting overwritten when 2 users are trying to mark the same pupil. Here is the situation: 1. Teacher opens Register for AM and starts marking register. Anyone who isn't in the lesson gets an N. 2. While the teacher has the register open, our attendance officer takes the messages off the voicemail and enters the marks onto SIMS. 3. Attendance officer clicks Save 4. Teacher clicks Save If the pupil that the attendance officer is in the reg group that the teacher was marking, then the mark that the attendance officer will have been overwritten with the N mark that the teacher puts in. Has anyone else come across this problem, and have you found any way round it? Regards, David Also posted here
Sivadam Posted May 6, 2011 Posted May 6, 2011 We enter the Absence Marks obtained via Telephone or Schoolcomms AFTER we are sure that the Reg Group Tutor/Class Teacher has completed the register. This is obvious to the Attendance Officer via the Missing Register Report on their HomePage!
IrritableTech Posted May 6, 2011 Posted May 6, 2011 We had this problem, however it showed up as duplicate marks. The pupil might end up with an N mark from teacher, and a I mark from our attendance officer, for example. In the main it was due to overly organised teachers opening their first register as soon as they came into the building, possibly an hour before they were going to mark the register. We just asked them simply to open the register only when the class were sat in front of them. This has fixed this issue 99% of the time.
dyoung5 Posted May 6, 2011 Author Posted May 6, 2011 Thanks for the replies. Unfortunately, our office manager wants the attendance information in SIMS as soon as possible, and having to sit, twiddling her fingers for 1/2 hour during registration time is not efficient. I think it is a really bad design on SIMS part that it doesn't check if a register has been altered when a teacher clicks save.
vikpaw Posted May 7, 2011 Posted May 7, 2011 SIMS allows overwrites, however it shouldn't need to check for a previous mark, else it would needlessly tie up the user with popups to say which kids already had a mark. Even if reg is half an hour, they should be doing the register in the first 10 mins or so. We only have a 10 minute reg. It takes less than a minute to do, so just tell them to not open the register until they are doing it. Once it's done, click save. SIMSples. If they are keen, they can log in and open up SIMS but shouldn't open the register until they need it, for exactly that reason. It's best not to keep anything open in SIMS where you have edit rights, marksheets, student data etc included, as it times out and is at risk of another user accessing that same data. The attendance office should wait at least 10 minutes, in case following an earlier message left by a parent, the kid forgets to go to the doctors and walks into class and is registered for example. Attendance officer should see no mark entered initially right..? So they know it's not done yet. As said before they should be chasing up registers first, then overwriting marks if need be. That's my view.
