Capturing parents email addresses

We're been using Teacher2Parents texting for a couple of years and now we've signed up to their email service and I was wondering how other school go about capturing parents email addresses.

When we update pupil records (we periodically prompt parents to ensure we have their correct work/mobile/home/child allergy details) we request email address.

 

It kind of works, but you'll get a lot of people who put in their hotmail address and it'll turn out to be suspended or expired due to lack of use when you mail it.

 

Also, the office will get lots of calls from parents saying "I didn't receive $thing_other_parents_did" - this will be a 50/50 split between data entry issues (MIS not checking valid email addresses properly / mistyping) and the parents being daft (full mailbox, wrong email, see above).

At the start of every academic year, a copy of the records held for each child is printed and sent home for verifcation... the secretary then spends ages chasing them up until we have a full set again.

We're about to start using the same method as Pete describes. Every pupil in the school has their data collection sheet checked once a year, others more frequently as-and-when their parents come in for other reasons. If parents don't receive information because they elect not to tell us of a change, well, that's their issue isn't it :-)

What's the DPA say about you printing and posting this information? We give ours out at the Information Evenings in the first term, and ask parents to amend them then-and-there, handing them back at the end of the night.

We use the Data Collection Sheets.

Most schools which I've dealt with use data collection sheets, however there is one school that I know of which use an online data collection sheet.
