OK i set them all up with their individual exchange accounts then i created the account for the shared diary. They tell me as they don't all access thought outlook 2007 some use owa on their own laptops its not obvious when there is something in the diary that needs action. In owa they need to open the additional mailbox first. 8 users 2 adding content 6 reading only.

They have not said it but i think they expect something to pop up and say new item in diary when they log on. I did toy with doing something in Sharepoint with alerts but don't really no where to start.

well you could set up a shared sharepoint calendar that send an alert to a distribution group at a time close to the event.

But they'd have to get used to setting it up that way, and then they'd have to have their email open (either outlook or OWA) - so maybe education would be better rather than trying to force tools to work in a way they're not supposed to.

I always find it funny how enterprise level tools are called "unsuitable" in schools.

that said theirs a few third party ways of doing different things with calendars Maintaining a Group Calendar in Outlook without Exchange

I think this isn't something that needs solving through software, it is something that people need to do differently. ie. make them use Outlook instead of OWA.

ie. software isn't the answer to everything, sometimes we have to do things differently to improve our productivity.

Look guys, you know by now that you are NOT allowed to use the forums in a commercial capacity. We must have banned about 5 Bromcom accounts by now and your various departments ask for advertising\sponsorship quotes every quarter. Could somebody at your end sort this mess out please?
