jthompson Posted January 19, 2024 Posted January 19, 2024 Users can't share externally, but selected staff can do after they've completed a data protection discalimer form. Those extra privileges are applied by adding the relevant staff users to a dedicated security group, which is where those extra privileges are applied. Staff can create new shared drives, students can not. Shared drives by default are limited to internal members only. Some select shared drives are able to inlcude external members as required. That's achieved by moving the relevant shared drives into an OU where the extra privileges are applied (we have OUs specifically for shared drives). 1

Tones Posted January 20, 2024 Posted January 20, 2024 Only IT can create shared drives and set permissions for them. Drives labeled with prefixes Staff / Student / External. The drives starting with External allow sharing outside of the domain or to whitelisted domains depending on content. So we allow external sharing only on specific drives created for the purpose required. E.g. large media file sharing, y11 bridge sites, shares with local schools. This mitigates accidental breaches, never had an issue. 1
