As the title suggests, can anyone suggest to me how they use Google Drive for a GCSE Art exam?

 

Students make extensive use of drive here storing all of their work in it. However, apparently, for the GCSE Exams they need to be able to do work, save the work, then no longer be able to access it until the next exam session after which they are no longer able to access it.

 

I though that we could do something with Google Classroom and submitting work, but however our Art teacher seems to think that won't for for the way that they do the exam.

 

Does anyone else use Google Drive for this, or have any other suggestions?

 

For the record this is the first time in 3 years I've faced this, previously we had a local file server (and local drives) that I could simply copy the work to once complete and copy back.

Option 1

1. Create new Shared Drive for Photography Exams 2023.

2. Share the new Drive with pupils.

3. Once the work is done unshare the drive.

4. Share it again if needed.

 

Delegate sharing / unsharing job to Photography teacher or Exams officer by giving him Manager Drive access.

 

Option 2

1. Create new Shared Drive for Photography Exams 2023.

2. Share the new Drive with pupils.

3. Once the work is done move the data to another location as you would previously on a local file server.

4. Move the data back for the exams.

 

I would suggest Option 1 as with Option 2 pupils can still add files to the drive.

Surely in both those examples they can access other student's work? We don't use Google Drive, but we do create new accounts for exams, which we lock and unlock as required.

Option 3 - if pupils work needs to be isolated:

1. Create 30 x Google Exams accounts

2. Add two step verification to the accounts. Either use USB dongle or Google Authenticator.

3. Create a folder called "Exams [account number]" for each Exam account.

4. Share the 30 x folders with Exams Officer

5. Instruct kids to save exams work in My Drive\Exams [number]

6. Suspend accounts when not needed.

7. Enable the accounts when needed.

 

It's a lot of hassle but once setup it this work fine.

Creating and sharing Exams [number] folders will allow Exams officer easily access the files . My suggestion here for Exam officer is to create shortcuts in their drive to each Exams [number] folder for easy access. This will also allow them to browse the Exams drives from their drive via Google Drive Client.

Locking Exams with 2step is required so no one else can login to the accounts instead (for example another pupil from another location).

Interesting. The information given to me from our Art dept says nothing about this specifically. I've asked to see if the exam board specifically says anything about this. If not we may have a plan.

 

Option 3 doesn't really work since apparently they do loads of prep work prior to the exam in their normal account which is then used as part of the exam. (Not really sure yet as to how this works)

I've started this last week with one test user, but worked well - the other 30 are in progress:

 

We've made 30 AD accounts, synced them to Azure and Google (as our Google SSO uses Azure).

 

Added them to our Smoothwall as a custom usertype and blocked all but Google and Azure domains.

 

Added a new usertype (OU) in Google Admin and turned off all services except Drive.

 

Powershell to enable/disable the AD accounts on schedule. Have to play with Google or Azure AAD Connect to make sure they sync in time but that's doable.

We don't do this for Art, but for other subjects there are specific rules about what work they can do in preparation. These files are collected to pen drive by the teacher, checked that they meet the requirements and then I put them in the specific exam accounts documents. I'm sure they can't just use their normal accounts for exams, your exams officer needs to speak to the Exam board and get definitive information

  • New Google shared drive named "Art Exam Work" or equivalent.
  • Exam officer is added as a viewer member of the shared drive. Possibly the teacher, too?
  • In the shared drive, create a folder for each candidate user.
  • Individually share each folder with the respective candidate user so that they can collect and prepare their files ahead of the exam.
  • Once files are prepared, remove access to each folder for each user.
  • Create exam accounts in the Google domain for each candidate to use in the exam.
  • Individually share each folder with the respective exam account.
  • Suspend/restore the exam accounts as required for each exam session.

 

Some Apps Script funkiness may help to automate some of that sharing/unsharing.
