When looking at a student's profile, under their profile picture you can set icons/flags (User Defined Fields) to display quick information, such as FSM, SEND, EAL, etc. We have that set up, but we've had a request to add a extra flag for those who are EAL for their "English Proficiency" level. This is found under Ethnicity & Religion > EAL > English Proficieny in the user's profile. You can use the English Proficiency drop down to select a level of fluency.

 

Our EAL lead has spoken to an EAL lead in another school, who also use Bromcom, and they said they display a UDF icon "F" under the the pupil's profile pic to show the student is fluent in English. Bromcom support either didn't understand or weren't sure it's possible and sent us a guide that isn't for the right thing. The only way we've managed to achieve something close is to create a User Defined Field with the following information:

Name: "EAL Stage"
Description: EAL Stage
Data Area: Other Information:
Start Date: 
Field Type: Dropdown - Multiple
Add to Additional Columns List: Checked
Option Text 1: F
Option Tooltip 1: F
Opition Text 2: N2E
Option Tooltip 2: N2E
Opition Text 3: EA
Option Tooltip 3: EA
Opition Text 4: DC
Option Tooltip 4: DC
Opition Text 5: C
Option Tooltip 5: C
Opition Text 6: NYA
Option Tooltip 6: NYA
Opition Text 7: N/A
Option Tooltip 7: N/A

Read Only Roles: Administrator, Assessment Administrator
Read & Edit Roles: Administrator, Assessment Administrator

 

Then add a new User Defined Flag with the following settings:

Tpye or Flag: UDF
Group: EAL Stage
Drop down: Select each of the options created above; F, N2E, EA, DC, C NYE, N/A
Name: EAL Stage
Flag: Letter: F
Colour: Blue
Active: Checked

 

Our EAL lead can then go to the pupil's profile, scroll to the bottom and under UDF, select the + to change the setting to which one they need from the drop down and saving it. The issue is that 40-50% of our school are classified EAL. This method means our EAL lead would have to specify this manually, on each EAL student one by one.

 

Can this be automated or done more easily? Escpecially since the data is specified in Bromcom.

Having checked my test system, a good alternative you can try is to create the EAL Flag as a Data Field rather than a User Defined Field. A Data Field allows you to simply mark the Student as Yes or No in terms of being fluent in English rather than progress or level. The benefit of a Data Field is it allows you to use the Quick Edit function to then Apply the Flag to Students in Bulk because EAL already exists in Bromcom as a Data Field. It takes a matter of seconds and will give the Students the EAL Flag in whatever colour/format you have chosen.

If you want to keep the EAL Flag created from a UDF, then you may need to look at changing the Field Type of the User Defined Field that the Flag is linked to (True/False or Text for example).

 

The last option is to create the Flag based on a Report Group, all you would need to do here is create a Report Group called EAL for example and then whenever a Student is added to that Group, they will receive the Flag. You can add multiple Students to a Report Group at once and you can even make it Dynamic so that it updates the Students daily based on criteria/conditions being met.

So when you've set up a Dynamic Report Group, you need to press Refresh just above the section where the Students will be. Depending on the Dates and Filters selected it should then populate with Students and any Student within that Group will have the Flag given to them.

 

RE: Data Fields, a Data Field will only let you pick one type of value such as Text or Decimal, if there are multiple values you need then you would need to have a Data Field that allows you to cover all of them or have multiple Data Fields set up.

 

Personally, I would recommend having Report Groups based on Level of Fluency and then create 2/3+ Flags that are then linked to those Report Groups which is efficient and easy to do. The Report Groups don't have to be Dynamic as long as you are happy/prepared to manually manage the Groups when Students join/leave your School and keep it up to date. You can add 100 Students to a Report Group in one action if needed so it is quite easy to get them in order.
