CMIS export all data

Hi All,

 

I was just wonder if it is possible to export all the data in CMIS regards to pupil and staff on to a spreadsheet. Our current MIS system is SIMS. CMIS was used previously and we only have a read only licence as it is not a live system. The only reason we have it is to refer back to historic data if there is any SARs request. Financially we do not need it as it has been over 7 years. We are currently upgrading our MIS Server and was hoping to save some cost not having to migrate CMIS over.

it all exists in a SQL database that you can query without needing CMIS. However a better question is what does your data retention policy say?

 

If it's been over 7 years since you migrated and when you did migrate you took everything relevant to current pupils then CMIS is only holding data on students who left more than 7 years ago - so they would be 25 years old if they left from year 13. Only SEN data and CP stuff would typically be required that far back.

 

I'm sure our resident GDPR expert can correct anything I've got wrong above.

We are a primary school and i think on pupil records the GDPR expert in school said 25yrs.

 

How would i query the SQL database?

looks like between 3 and 6 years for almost everything - actual SEN statements etc 35 years but those are frequently kept on paper anyway.

 

As for querying the SQL database - If you're asking that question then I'd probably dismiss that route - if you don't know what you're doing with SQL it's pretty easy to lose it all!

Most pupil information from your Primary school should be passed onto the next school they join. Your school doesnt need to keep most of it...and certainly not for 25 years. As previously stated, there are exceptions to this are things such as accident records, SEN etc

The IRMS provides excellent guidance for schools to follow https://irms.org.uk/page/AcademiesToolkit.

 

The school should have a retention policy signed off by Governors and any queries and decisions on deleting or keeping data and the timeframes decided should be made by them and your DPO.

 

I would suggest waiting to be instructed by them before next moves.
