talksr Posted July 29, 2020 Posted July 29, 2020 Hi there, We are gradually moving over to cloud based technology, but we are only a primary school. The head would like to have a staff and pupil shared area which can be accessed by relevant users via their One Drive. This would be as a substitute to using the current mapped network drives locally. Does anyone know if this is possible? I am assuming that the head or me would create the main shared folder, add a couple of other administrator users just in case we move on, and then set the permissions for other users who are able to view/edit. Is there a best practice method for doing this? Would really appreciate any help as Microsoft are very hard to get hold of for even paying the office bill let alone trying to deal with technical issues.
Wubbalubbadub Posted July 29, 2020 Posted July 29, 2020 You're best making a SharePoint site for this purpose. The site would have it's own OneDrive area which is shared. This can be locked down to groups. 1

talksr Posted August 21, 2020 Author Posted August 21, 2020 Perfect, thank you. Will look into this now. I have been having some issues in getting other users to be able to see the shared document folder in Sharepoint on their One drive. I found this helpful online guide for SharePoint, but can't find anything specific about OneDrive. https://docs.microsoft.com/en-us/sharepoint/guide-to-sharepoint-modern-experience When I am logged in as administrator, this is what I see, which is perfect, but as other users, they are not seeing it. I have made sure the right permissions are set. If I select manage access on the shared folder, I can see that all of these groups/users have access.. I have ensured that SharePoint is public also, but still not working. If I log in as a user, this is what I get... Any ideas?
psydii Posted August 21, 2020 Posted August 21, 2020 You've made a communications site. You want a Team site for the purpose of having it show up in OneDrive. These days you get an Microsoft 365 Group when you create a Team site. This can be used as an email distribution group too. Those people you wish to have RW access to the site should be members of the Microsoft 365 Group. I can understand why your head wants this (because they just want it work like the old way) but I would question the fundamental decisions and assumptions that lead to having an all users r/w site/folder in the first place. 1
