Staff and student with the same name

Our staff accounts didn’t use full names in the directory

 

Joe Bloggs teacher’s email was jbloggs@

And the descriptor said Mr J Bloggs

 

For the child the descriptor would be Joe Bloggs

 

 

We had that at a previous school, with "Mr" in the first name field. Worked beautifully until GMail changed how it truncates names in conversation threads then suddenly we all had Inboxesa full of threads which looked like "Mr, Mr, Mrs, Miss, Mr, Mr, Mr" which wasn't very user-friendly!

 

I know some staff would like it that way where I work. Certainly, it clanged a little when a student emailed me and addressed me by my first name.

And that’s the snag

In O365 you can give the Admin rights to their mailbox so don’t need to ask for their password.

Which is more about using the specific names/identifying gender with location etc.

 

But again, that is an olllld one So happy to be put right if there is something updated!

It was good advice then and still good advice now.

 

These conversations were blurred between safeguarding and data protection ... and intentionally so. The emphasis was not to think in a silo about either but to consider where each had impacts on each other. Under the old guidance on using ILs and how multiple items of data can increase the level when combined, that is no difference to the data minimisation principles within GDPR/UK DPA.

 

I would always ask, "Is there another way of doing this?" and see if you get a different answer.

If this is being done, then ensure there is a clear audit trail of when it is turned on, what was found and when it was turned off. Ensure that the decision is coming from a significantly senior member of staff who includes safeguarding within their responsibilities and if it doesn't then speak with the DSL too.

Thanks for the input, everyone. I think we're going with appending "student" to their display names and reminding staff to check carefully. This seems the option of least impact, and I think switching to Mr J Bloggs actually increases the risk of misdirected emails as it would make it easier for emails intended for Mr J Bloggs to go to Sally Bloggs instead not just John Bloggs (and as we have students whose surname matches either the Head or DSL, I can't risk that). Maybe in time I'll change everyone's usernames to cohort style, but just as we return from school closure doesn't seem like the time to make a change like that - teachers will be working hard to catch students up, they don't need delays and added complication from students forgetting their new username.
