Hi,

 

We are a not for profit organisation that uses Microsoft office for all our admin staff. We are just setting up an MDM system and want to give all our support workers a domain address. We also are registered with Google not for profits and we can do free domain emails through them which will save an enormous amount of money over a licence fee (even though its small) per month for over 100 users.

 

Is it possible to use the same domain name for emails run through two different services? Or is there a way around it?

 

Thanks and I look forward to some advice! This is out of my comfort zone!

We are using same domain for both O365 & G-Suite.

 

O365 - Email/OneDrive/SharePoint

G-Suite - Drive/Docs/Sheets

[email protected] (I have noticed user can send emails between these G-Suite hosted accounts)

 

mx records point to Office 365

The only record for G-Suite we have is a domain verification TXT record.

Not really familiar with O365, but you can use the same domain name for both systems. You domain's MX record will need to point to one or other, though. In G Suite, you can set up various mail routing options to allow for dual or split delivery of emails to another mail system. This would allow you, for instance, to have all emails for your domain routed to G Suite (i.e. your MX records points to Google), but then emails for certain addresses be routed onwards by Gmail to be delieverd to O365 mailboxes instead of to their respective Gmail mailboxes. If you don't want users using Gmail, you can disable the Gmail app for them in G Suite Admin. They'll still be able to use Docs, Drive, etc. and have those apps generate noticiation emails for them, etc.

Both systems will be generating emails, though, for things like document sharing notifications, etc. You'll need to make sure that your domain's SPF records include all the bits that Google and MS say you'll need in there to make them legit sources of email for your domain name.

Yep, it's doable, I do it for my own personal systems (mix of gmail and o365).

 

Since you are presumably setup in O365 I would leave MX records pointing there. There's a couple of ways to do it.

 

You you have a secondary email domain just for the support workers. For each support worker your setup a mail enabled contact with the forwarding address of the secondary domain. In gmail, they have both email addresses with the normal one was primary. This has the advantage it is visible in the outlook GAL. Users don't need to be aware of the secondary email domain, it's only used under-the-skin

 

The other approach would be in O365 to set a connected to route traffic for your domain to gmail via a fixed host (whatever gmail would tell you to set your MX record to). The in exchange amdin, set your domain to 'internal relay'. Emails to support workers will arrive at O365 which doesn't know anything about them, so will forward it down the route to Gmail you've setup.

 

Both cases you'll need to test that gmail doesn't have a problem with SPF any may need to whitelist traffic from O365.
