[sims] Assessment Manager - creating linked documents with specific permissions

Hi All

 

In Assessment manager, i would like to create a linked documents which is only accessible to certain staffs, for example to tutors and SLT. I have been asked to create a document for each student which contains sensitive information. Information will be inputted by SLT and tutors, for this i am planning to create marksheets, which I assume can be easily assigned to tutors and SLT. I will then create the linked documents using the data from the mark sheet, which i want accessed only by SLt and tutors. I think everyone can access linked documents when you upload the documents to documents server, how can we restrict access to this? If this is not possible in Assessment Manager, is there any other way we can do this in Simms?

does this actually have anything to do with SIMS? i.e. is any of the information in these documents pulled from regular assessments or attendance?

 

If not would it not be easier all round to just have pro forma word docs that are stored in a shared area on your network with appropriate file/folder permissions?

 

When you say slt and tutors - would that be ALL SLT and ALL Tutors having access to ALL student documents that you're creating - or specific SLT/Tutors per child?

Yes - some of the information that goes will be pulled off from assessments and attendance, but mostly from the specific mark sheet edited by SLT and tutors - ALL SLT and tutors, there is no need for restrictions among them.

What we are trying to achieve is to have a history of certain things happened to a student in one document from the beginning until they leave the school. It is more convenient to have it in Simms as this is the place that someone will be looking to find any details of the student. I think it will be hard to manage if it's on a shared drive. when you refer to a history of everything that occured to a student would you be including behavioural/pastoral/CP and safeguarding issues?

 

There's dedicated software that does this brilliantly and has the access control that you're looking for.

 

Two examples are MyConcern (SIMS has a deal with them) or CPOMS.

Not safeguarding issues (for this we have CPOMS), more about academic related - for example interventions. May be a bit pastoral/behavioural but if it's too sensitive then will go into CPOMS.

 

I think we may have to create this document without any sensitive data, if it's too sensitive then it has to go into CPOMS.

academic interventions are collected by us in our regular assessment mark sheets - this isn't sensitive and is easily reported on in an individual report as you've suggested.
