MrMat Posted July 17, 2019 Posted July 17, 2019 (edited) GDPR isn't my strong point so bare with me The new SIMS Update has introduced a 'Additional persons at this address' box onto the Pupil address panel. Capita have released a video on it here: https://www.youtube.com/watch?v=9pXUxjqISPE My issue/concern is that the panel shows all people ever that have lived at that address. For example: Pupil A lives at 11 School Road with 5 contacts. Pupil A leaves the School in 2015 Unbeknown to the School, Pupil A moves address in 2017 Pupil B arrives at School in 2019 and coicidently now lives at 11 School Road. The Pupil B Pupil Record on SIMS shows Pupil A AND all of Pupil A's contacts within this panel. The School cannot amend this information. They cannot contact Pupil A to find new address as they have no need to know so Pupil A will always appear on Pupil B record. Technically it's 'correct'. Pupil A (and contacts) do have the same address as Pupil B on SIMS but surely it shouldn't be on the Pupil Record itself? Is this in itself a breach? If not, is it just an awful idea and an unnecessary risk. Office staff talking to Pupil B Mom, goes onto pupil record, sees Pupil A name on there 'Oh, you live with/are mother of/you know Pupil B?' Thanks folks. Edited July 17, 2019 by MrMat
bobsmith Posted July 17, 2019 Posted July 17, 2019 Quick question - is that a training database or a live one - cos you've just breached yourself if it's live. I'd get rid of that screenshot and clean it up before posting again.
bobsmith Posted July 17, 2019 Posted July 17, 2019 And Yes - it's a terrible idea but are we surprised by Capita? Another reason I'm delaying the summer upgrade.
MrMat Posted July 17, 2019 Author Posted July 17, 2019 And Yes - it's a terrible idea but are we surprised by Capita? Another reason I'm delaying the summer upgrade. Yeah it's just training data. Good ol' Green Abbey. I've removed just to be on the safe side of things.
CAM Posted July 17, 2019 Posted July 17, 2019 You forgot to add every contact with a student who has a similar name in the CTF file.
blueday Posted July 17, 2019 Posted July 17, 2019 This gets even more interesting! When you move house, it will also offer to move everyone at that address. So the leavers (Pupil A in the case above) also come up pre-ticked to move. If there's a long list there, it's quite likely this would be missed, so the user would end up moving Pupil A and family to the new address too. Granted their address was incorrect in the first place, but now it's even more so! This is also the case in the Spring release, so has probably been there a while (if not forever!), it's just that now the panel is visible it's easier to notice. The reason leavers show seems to be that when they leave, no end date is put on their address.
MrMat Posted July 17, 2019 Author Posted July 17, 2019 We've also just realised something... It will also apply for deceased parents and pupils which is obviously another terrible idea!
