How do you work out the destinations of your Year 11 leavers so you can pass their files on to their new college? Is there something similar to Key to Success to acquire destinations or is it just a case of asking the students when they pick up their results?

We only send stuff on if requested by the College after students have enrolled with them.

 

We have had colleges in the past ask for info about students "on spec" assuming that they would end up with them but that obviously raises Data Protection issues.

On results day its unlikely students will be formally enrolled on College courses when they get their results - they often go straight there from us on results day, so its wouldn't be appropriate to ask the students either as they may equate being offered a place with actually being on the College roll.

If destination needs something, they (should) ask for it once the student has officially started with them... ie: turned up and registered on first timetabled day of autumn term (enrolment alone isn't enough for us - plenty enrol somewhere but then never actually turn up). Requests before that point get told to get back in touch after that point, but it is also stressed that the request must be made thru S2S / LA Secure Transfer facility.

 

Technically, there's nothing that they _actually_ need that they can't get online from LRS when it comes to performance measures (eg: calculating prev KS4 points etc for L3VA / target setting).

2.1.8 Further education (FE) colleges

FE colleges will be better able to assess and plan for the provision of a new pupil from the maintained schools’ sector when they have full information about the pupil’s prior needs and attainment. Although there is no legal requirement for a school to transfer information to an FE college, schools are encouraged to do so on request from the FE college where a secure local method of transfer is available.

 

Schools must also ensure that all their obligations under the GDPR and the Data Protection Act 2018 are complied with when transferring personal information about a pupil to an FE college. For more information on the data protection legislation see section 9. Schools should seek their own legal advice and it might be necessary to seek a pupil’s consent before transferring the information. Legal advisors may wish to be aware that Section 537A(6) of the Education Act 1996 and the Education (Individual Pupil Information) (Prescribed Persons) (England) Regulations 2009 enable such a transfer of information.

True, which is why we never hear from some colleges at all even though I know a significant number of our leavers go there.

The main thing we get asked for is evidence relating to Access Arrangements for Exams, which can save the colleges some work in re-assessing students, but its a handful each year and dealt with case by case, as obviously its often sensitive data.

Aye... ditto. Very rare that any FE colleges get in touch with us... s'usually only students who have chosen to go to another school's 6th form provision for which we get requests.

 

In the document I linked there are also instructions of what to do if you don't know their destination (upload to Lost Pupil Database via S2S, and then colleges can collect from there as-and-when required, or request extracts from the full NPD via LA).

Kept according to our retention schedule - that would be until they are 25, with exceptions.

The stuff that's kept in paper records tends to relate to safeguarding issues and I don't have any involvement with that.

I doubt many schools have any paper records which are purely related to academic performance these days, although we do keep paper copies of exam results for archiving purposes.

CAM is a Data Manager. Don’t assume everyone is in IT!

Yup, data here.

 

Paper files contain all sorts of useful gems for checking census data and such. It is also a repository for letters home, correspondence and other bits. I refer to them heavily around October time, especially this year where I have been fixing issues where SIMS hasn't been kept up-to-date properly before I started.

We have filling cabinets everywhere for paper files.

 

Some things need to be in paper format.
