Morning everyone,

 

We are new to parent pay so everyone is still finding their feet with it. This week we were told that new Year 7's will be going on a school trip midway through September and ideally we would like to take the money through cashless methods as soon as possible. I was told by a colleague that her daughters primary school have already started issuing parent pay usernames and passwords to new parents for September but how is this possible when they are not on roll in SIMS until the start of September and subsequently won't sync into parent pay? We also need to think about consent for the school trips before we take any money. We use parent app for this and can invite pre-admissions parents to it if need be which will probably be the preferred method.

 

How does your school manage this please? Any advice welcome.

ParentPay will let you upload your preadmissions to it and from there you can generate the letters for the usernames/passwords which will allow them to sign up.

 

Then when you go to create a payment simply change the assigned to box from pupils to preadmissions and then assign from there.

Thanks for this @Cache. Do you need all CTFS back from the primary schools to get the UPN into SIMS or can this be imported from the local authority final offers spreadsheet which includes UPN?

Your ATF pulls PreAdmissions in, which you then withdraw/admit accordingly.

 

CTFs add additional data, but the ATF has enough for what ParentPay needs.

A Preadmission needs to have a UPN otherwise they won't get uploaded to ParentPay (Onroll students you can get away with just an admission number) and they also need to have a status of Accepted. The other thing we check is that the home address is correct and the Parental Salutation has been generated otherwise you get parent/guardian on the ParentPay letters.

 

From memory I don't think there's anything else, however while I've uploaded our Preadmissions we haven't yet got as far as generating the letters.

We've just managed to import the ATF file which is good, the data manager is just about to check the salutations and address files which is probably a little difficult considering we don't know much about them yet? Would you say that we then need to accept them in sims from offered and then run the synchronization into parent pay?

Well we do the address on a best attempt basis - we have the information that came from the ATF which the parent obviously provided and we update known changes, ATF's from our LA aren't known for their reliability or accuracy for having data in the correct places (although I think they are better then they used to be).

 

Yes, within admissions to be uploaded to ParentPay they need to be marked as Accepted, otherwise it will ignore them. Then you just use the Pre-Admission menu option rather than Pupils to upload them using the MIS:Sync tool. Any changes you make to Pre-admissions that you want reflected in ParentPay, just re-run the Pre-admission sync.
